About The Position

The Maintenance Coordinator provides operational and administrative support to the General or Property Manager and Maintenance Lead(s) for assigned communities. This role coordinates, enhances, and maintains positive resident relations with a primary focus on maintenance support. The coordinator also oversees building operations, including ordering supplies, inspecting units, scheduling apartment turnover, and managing turnover contractors. They monitor the work order system to ensure customer satisfaction and ensure regulatory compliance and adherence to company policies and procedures related to property management.

Requirements

  • A High School Diploma/GED is required.
  • Computer and smart phone literacy required.
  • Must be able to communicate clearly and effectively in English, both verbally and in writing, for all work-related responsibilities.
  • 1-2 years of related administrative experience in Leasing, Bookkeeping, or Operations.
  • Fair housing laws, property management, and Microsoft Office skills.

Nice To Haves

  • Additional education and training preferred.
  • Multilingual skills are a plus.
  • Associate degree.
  • One-Site, customer service, following through, and personal accountability skills.
  • This position may require a valid driver’s license depending on the needs of the property.

Responsibilities

  • Fosters good tenant relations by managing requests/complaints.
  • Receives tenant services requests and takes appropriate action to resolve issues.
  • Manages resident service using property management systems, directing inquiries as required to the appropriate building operations departments.
  • Orders supplies as directed by Maintenance Lead(s).
  • Schedules external vendors as directed by Maintenance Leads(s).
  • Takes a leading role in the facilitation of apartment turnover scheduling with both internal staff and external vendors.
  • Manages vendors and vendor logs such as pest control log.
  • Maintains a working knowledge of all maintenance programs to ensure the proper and efficient operation of systems, preventive maintenance programs, housekeeping functions, and responses to resident maintenance requests.
  • Prepares service orders when residents call and distributes to appropriate associates for completion.
  • Follows up on forwarded maintenance requests and makes sure that all residents are notified if there must be a delay.
  • Ensures completion of resident service requests.
  • Maintains working knowledge of leasing policies and procedures and performs functions related to lease renewal on occasion as needed.
  • Ensures effective and appropriate implementation in accordance with Corporate Office and Fair Housing policies and procedures.
  • Makes follow-up calls, sends follow-up literature, and pursues rental status.
  • Conducts move-in and move-out inspections of apartments to determine applicable charges for damages.
  • Conducts inspections to determine market readiness and implements high-quality standards of cleanliness and aesthetic appearance.
  • May perform interim unit inspections.
  • May prepare purchase orders, code and assist with process vendor invoices for payment, send documentation to Corporate Office and follow up on vendor payment inquiries.
  • Completes all other tasks and duties assigned by manager.
