About The Position

The Secretary for the Main Office of Bellingham Memorial School is directly responsible to the Principal. Under the Principal's direction, this role performs a wide variety of clerical and general office work on a day-to-day basis. This includes drafting correspondence, scheduling appointments, organizing, handling attendance, and maintaining paper and electronic files, as well as providing information to callers.

Requirements

  • Knowledge of administrative and clerical procedures and systems such as managing files and records, typing letters, spreadsheets, memorandums and other reports and other office procedures and terminology.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Emotional maturity, competence, and personal integrity.
  • Meeting strict deadlines.
  • Repeating the same physical activities or mental activities over and over.
  • Ability to remain in a stationary position for the majority of the day.
  • Energetic, enthusiastic, and willing to cooperate with other staff members in assisting with all phases of main office work.
  • Good judgment, using accuracy and thoroughness, to determine validity of work done.
  • High School Graduate.
  • Thorough knowledge of office practices and procedures.
  • Neatness in appearance and work.
  • High degree of patience and tact in dealing with students, parents, teachers, administrators and the general public.
  • High degree of proficiency in Google Suite and Microsoft Office, including Word, Excel and in-house accounting software.

  • Associate degree preferred.

Responsibilities

  • Drafting correspondence, scheduling appointments, organizing, handling attendance, and maintaining paper and electronic files or providing information to callers.
  • Managing files and records, typing letters, spreadsheets, memorandums and other reports.
  • Recording accurate attendance for students and staff.
  • Maintaining a regular filing system and processing incoming correspondence.
  • Serving as a receptionist dealing effectively and courteously with people.
  • Ordering and maintaining supplies as needed.
  • Maintaining confidentiality of work performed.
  • Coordinating the scheduling of appointments and making arrangements for conferences.
  • Organizing and maintaining office records for ready accessibility.
  • Updating and maintaining all student information systems (i.e. registration, attendance, school choice, homeless data).
  • Maintaining and preserving all public records and supporting files of the school department, which will include student cumulative folders and a student database.
  • Proofreading documents, records, or other files to ensure accuracy.
  • Assuming other related assignments or work that may be assigned by the Principal.
  • Adhering to the adopted policies of the Bellingham School Committee.
