About The Position

The Mailroom Manager oversees all inbound and outbound mail and package operations for the facility, ensuring efficient, accurate, and timely delivery services. This role is responsible implementing tracking systems, maintaining delivery records, and ensuring compliance with organizational policies and security protocols.

Requirements

  • High school diploma or equivalent required; associate's or bachelor's degree in business administration, logistics, or related field preferred.
  • Minimum 2-3 years of mailroom or logistics operations experience.
  • Strong organizational and time management abilities with attention to detail.
  • Proficiency with mailroom management software, ticketing systems, and Microsoft Office applications.
  • Knowledge of postal regulations, shipping carrier services, and delivery logistics.
  • Excellent communication and interpersonal skills for vendor and stakeholder coordination.
  • Ability to lift and move packages up to 50 pounds regularly.
  • Problem-solving capabilities to resolve delivery issues and operational challenges efficiently.
  • Candidates must be authorized to work in the United States without sponsorship.

Responsibilities

  • Oversee daily operations of the mailroom, including receiving, sorting, processing, and distributing all incoming mail, packages, and deliveries.
  • Manage outbound mail and package shipments, ensuring proper packaging, labeling, and carrier selection for cost efficiency and timeliness.
  • Coordinate with courier services, postal carriers, and delivery vendors to maintain reliable service levels.
  • Implement and maintain systems for tracking high-value or sensitive deliveries requiring special handling.
  • Administer the ticketing system for logging all incoming and outgoing deliveries, maintaining accurate records for audit and accountability purposes.
  • Generate and track delivery receipts, obtaining signatures and confirmations as required.
  • Produce regular reports on delivery volumes, turnaround times, and service performance metrics.
  • Maintain databases of delivery histories and resolve discrepancies in tracking records.
  • Monitor vendor performance against service level agreements and address service failures promptly.
  • Evaluate shipping options to optimize cost and delivery speed based on organizational needs.
  • Coordinate with building management, security, and reception staff to facilitate smooth delivery operations.
  • Manage mailroom equipment maintenance, including postage meters, scales, and sorting equipment.
  • Ensure mailroom compliance with building access policies and security requirements.
  • Manage mailroom budget, including postage, shipping supplies, and equipment costs.
  • Monitor postage usage and implement cost-control measures.
  • Maintain adequate inventory of shipping supplies, boxes, envelopes, and packaging materials.
