About The Position

The Mailroom Manager is responsible for supporting management functions in all aspects of the execution mail center activities, including backup of the quality assurance monitoring function and management of floor activities.

Requirements

  • High school diploma or equivalent.
  • Dependable work history.
  • Six months of experience in a high-volume transaction environment.
  • Manual dexterity; 10-key by touch.
  • Excellent typing skills.
  • Basic PC skills, including use of a mouse.
  • Organized and detail-oriented.
  • Problem-solving skills.
  • Analytical and reasoning skills.
  • Ability to take and follow directions explicitly.

Responsibilities

  • Ensure adherence to all corporate, contractual, ethics, and safety standards, policies, and procedures, including professional behavior, attendance, and dress code.
  • Must have payroll and scheduling experience in a shift-rotation work setting.
  • Enter proper information as required within the applicable transaction processing module.
  • Ensure adherence to all corporate, contractual, ethics, and safety standards, policies, and procedures.
  • Maintain productivity and quality according to unit standards.
  • Ensure quality assurance monitoring of all job functions related to this contract.
  • Perform other duties as assigned.
  • Plan, organize, direct, and control facility and daily operations.
  • Coordinate all aspects of daily operational control with Conduent and onsite staff.
  • Coordinate mail delivery schedules with the mail courier and the United States Postal Service.
  • Handle communication with the landlord regarding janitorial and maintenance needs.
  • Communicate with Conduent Facilities regarding facility needs.
  • Coordinate and conduct interviews and hiring activities with the recruiting team.
  • Conduct daily reviews of incoming mail volumes and staffing needs.
  • Communicate all site needs to Conduent and client management.
  • Maintain direct communication with client management and technical staff to ensure the project meets contractual service agreements.
  • Analyze workflow and assignments to ensure operations run efficiently.
  • Make recommendations on operational improvements to Conduent.
  • Provide direction to onsite IT staff to ensure the technical solution meets PCI DSS data security requirements.
  • Coordinate and plan all IT-related initiatives with onsite IT staff.
  • Develop reports for Conduent management and the client regarding service-level agreement compliance.
  • Work with the client and Conduent accounting department to ensure all ordering and vendor invoices are completed within agreed-upon timeframes.
  • Develop training materials and procedures.
  • Coordinate all new-hire training with the trainer.
  • Conduct periodic reviews and updates of all policy and procedure documents to ensure they are up to date.
  • Work with the client finance team to ensure all financial reporting requirements are met.
  • Respond in a timely manner to client inquiries regarding all aspects of operations.
  • Maintain all required documents and procedures in accordance with PCI DSS and contractual service-level agreement requirements.
  • Ensure staff meet department productivity and quality goals.
  • Document and understand established business rules for all job duties.
