We are looking for an organized, detail-driven Mailroom Documents Admin to support our Case Managers and clients. In this role, you will play a critical part in the tax resolution process by gathering vital documentation, managing digital client files, and keeping daily mailroom operations running smoothly.

Requirements

• Relevant background in case management or client services (experience within a tax or financial services environment is preferred).
• Exceptional verbal and written communication skills, with the ability to convey complex information clearly and concisely.
• Proven ability to handle sensitive, confidential client information with discretion and professionalism.
• Strong organizational skills and sharp attention to detail.
• Proficient computer skills; hands-on experience with CRM platforms (particularly Logics CRM) and THS software is preferred.
• A thorough understanding of IRS procedures, forms, and tax resolution options is beneficial.
• Strong logical reasoning skills, combined with patience and genuine empathy when assisting clients.
• Ability to work in an indoor office setting, operate standard keyboards and office equipment, sit for long periods, and lift or move up to 25 pounds.

Responsibilities

• Proactively follow up with clients via text and email regarding missing documents and deadlines; return all client call-back requests within 24 hours.
• Accurately update client profiles in Logics CRM and navigate THS software to track case progress.
• Retrieve, upload, and properly rename IRS transcripts and state/federal tax forms while ensuring strict data integrity.
• Generate reports within THS and software systems, analyzing potential delays or missing paperwork to provide actionable updates to Case Managers.
• Assist with sorting, scanning, assembling outgoing mail, and managing physical and digital client correspondence.
