About The Position

This role involves the operation of high-level mail equipment, including inserters, sorters, and finishing equipment in an automated, high-speed, high-volume environment. Responsibilities include performing charge-back reporting for postage, air express, local delivery, and faxes, as well as performing production mail labeling and mail merge. The position also requires providing mailing address cleanup services, coordinating automated and manual processes for finishing and mailing client materials, and implementing and maintaining distribution and tracking systems. Use of customized software to update and maintain mailing addresses, and bar code address quality review are also key functions. The role manages electronic input, packaging activities, and posting fulfillment in high-speed/high-volume operations. Recommendations for cost savings and workflow optimization are encouraged. Daily tasks include receiving, sorting, and processing mail documents, packages, and supplies, notifying recipients, and performing scheduled mail delivery and pick-up runs. Recording and processing accountable mail information, maintaining logs, and tracking/resolving mail problems with USPS, express, and local delivery services are also part of the job. Preparing mail and packages for external shipment, coordinating deliveries and pick-ups, and performing quality checks on outbound mail are essential. The role also involves validating internal mail addresses, performing bar code address lookups, and utilizing common mail services such as fax, air express, and postal services. Filling out shipping forms or entering data electronically, performing finishing work like folding and insertion, and handling electronic mail distribution (opening, mail prep, scanning, and distributing) are required. Fulfillment functions, such as assembly, packaging, shipping, and tracking of kitted materials, must be performed, along with adhering to mailroom security procedures and performing barcode tracking or face scanning of incoming mail and packages.

Requirements

  • Able to lift and move up to 50 pounds.
  • Able to demonstrate ability to read, write and follow English instructions.
  • Able to demonstrate PC / Internet Skills Intermediate -- Download and install files (fonts, drivers, etc.) from internet sites; open, complete and save/print internet forms.
  • Perform mail merges.
  • Intermediate knowledge of MS Word or equivalent (insert images; create and manage tables and columns; edit headers/footers; create forms; create and manage multiple sections.
  • Intermediate knowledge of MS Excel or equivalent (navigate multiple worksheets within a workbook; create charts/graphs; use basic math functions; create basic formulae).
