About The Position

The Homeless Action Center (HAC) is seeking a Mail Clerk to work primarily in their Oakland office. This role involves managing a significant amount of mail for the law office, including opening, scanning, and distributing mail for staff, with a particular focus on identifying hearing and decision notices. The Mail Clerk will also manage a mail service for clients, securely handling and distributing vital documents, identity documents, EBT/bank cards, and checks. Additionally, the position involves calendar management for administrative appeals, communicating with agencies and delivery services to resolve mail issues, and maintaining accurate client mail records. A key part of the role includes providing drop-in services at the front desk four afternoons a week, assisting clients with mail services, verifying identities, greeting guests, and maintaining the cleanliness and supply stock of the front desk and waiting areas. The position also offers opportunities for involvement in client services, tabling events, and outreach, with other duties assigned based on interest.

Responsibilities

  • Manage and process incoming and outgoing mail for staff, including opening, scanning hearing and decision notices, and distributing mail.
  • Provide a mail service for current and former clients, securely accepting, organizing, and distributing mail and packages.
  • Calendar hearings and deadlines for administrative appeals.
  • Communicate with governmental agencies and delivery services to resolve mail delivery issues and return unclaimed mail.
  • Organize and maintain accurate records of the client mail system in the database.
  • Provide drop-in services at the front desk, including distributing mail to clients, verifying identities, and recording receipt of packages.
  • Greet clients and guests in a friendly and polite manner, offering assistance and determining their needs.
  • Maintain professionalism and respect for clients, even when they are upset or angry.
  • Stock and monitor supplies in the front desk area, coordinating orders with relevant staff.
  • Assist in maintaining the general cleanliness of the front desk and client waiting/meeting areas.
  • Respond to administrative requests by checking messages.
  • Participate in client services, tabling events, and outreach opportunities.
  • Perform other duties as assigned.
