About The Position

The Industrial Commission of Arizona (ICA) is seeking a Mail Clerk to join their Administration Division/Fleet-Mailroom. The ICA Mail Room provides essential mail services to multiple building tenants and other state agencies, processing approximately 25,000 pieces of inbound and outbound mail monthly. This role is crucial for maintaining efficient communication and operations within the agency and for the state entities it serves.

Requirements

  • Knowledge sufficient to oversee and participate in the collection, sorting, preparation, and delivery of mail.
  • Knowledge of Postal Regulations, correct meters, registering and certifying of mail.
  • Knowledge of mail services sufficient to determine the most cost-effective method.
  • Knowledge sufficient to assume responsibility for correct metering, registering, and certifying of mail.
  • Knowledge sufficient to oversee and participate in maintaining routine office records and reports.
  • Skill in prioritizing workload of the mail unit.
  • Skill in basic mathematical calculations.
  • Skills in operating and maintaining postal machines.
  • Skills in monitoring basic office recording keeping.
  • Skill in planning work flows and scheduling work.
  • Skill in working well with others without losing sight of the task.
  • Good organizational skills and ability to keep all work areas clean, organized, and free of unnecessary debris.

  • Must possess and retain a current, valid class-appropriate Arizona driver’s license.
  • Must complete all required training and successfully pass all necessary driver’s license record checks.

  • Must maintain the statutorily required liability insurance if operating a personally owned vehicle on state business.
  • Must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).

Nice To Haves

  • A minimum of one year experience working in a mailroom and/or post office is preferred.

Responsibilities

  • Process incoming and outgoing mail, including sorting, preparing tracking sheets for signature mail, and participating in security screening.
  • Load vehicle and deliver/collect mail on assigned routes daily.
  • Prepare outbound mail using a folder/inserter and process through a postage meter or shipping software.
  • Operate various printers for printing jobs related to folding and inserting, print electronic certified postage, and print letters for claimants.
  • Operate a large document scanner for scanning inbound mail and document archival.
  • Interact with ICA mail room customers directly or over the phone to answer general mail room questions.
  • Receive and process requests for various forms and booklets.
  • Operate postage/mail equipment, United Parcel Services, FedEx (Ship Manager) processing, and the Neo-Track System (computerized and manual).
  • Receive and process maintenance and service calls.
  • Maintain various logs and files.
  • Answer and direct phone calls.
  • Process Express Mail (UPS) and certified mail.
  • Prepare mail for Tucson Shuttle for delivery.
  • Complete special deliveries and assignments.
  • Deliver mail internally and externally using state vehicles.
  • Prioritize workload of the immediate mail unit.
  • Sort incoming mail for distribution and dispatch outgoing mail.
  • Compute basic mathematical calculations for operating and maintaining postal machines.
  • Monitor basic office/personal record keeping.
