Requirements

  • High School Diploma or equivalent required.
  • Minimum 1 year of experience in a medical supply chain or medication inventory environment preferred.
  • Proficient in Microsoft Word, Excel, and inventory management systems (experience with Nucleus preferred).
  • Excellent communication, organizational, and problem-solving skills.
  • Must hold a valid driver’s license and have reliable transportation.
  • Must be able to lift up to 50 pounds.

Nice To Haves

  • Knowledge of pharmacy terminology and familiarity with oncology or infusion practice settings is a plus.

Responsibilities

  • Independently manage and reconcile all on-site medication inventory in accordance with NYCBS policies and procedures.
  • Maintain complete documentation for all medications, including lot numbers, expiration dates, and temperature logs.
  • Perform daily medication reconciliations and verify accurate counts twice per day.
  • Monitor and oversee proper medication storage, handling, and disposal in compliance with OSHA and NIOSH standards.
  • Request, receive, and restock medical supplies, pharmaceuticals, and equipment to maintain required inventory par levels.
  • Conduct routine cycle counts and audits of supplies and equipment.
  • Maintain accurate records of all materials received, stored, and distributed.
  • Support office organization and equipment oversight, including inspections, maintenance, and repair coordination.
  • Assist in new office setups by sourcing materials, coordinating deliveries, and stocking inventory.
  • Serve as the communication link between departments regarding supply needs and distribution.
  • Transport medications and supplies between clinical sites as needed.
  • Maintain cleanliness and organization of all storage areas in compliance with infection control and safety standards.
  • Accurately document all inventory transactions and maintain up-to-date system records.
  • Prepare and submit reports on inventory levels, usage trends, discrepancies, and audit findings.
  • Support quality assurance initiatives by ensuring all medication and supply management processes meet regulatory and organizational standards.
  • Perform additional duties as assigned.
  • Coordinate with pharmacy teams for medication pick-ups and the receipt of direct-ship medications.
  • Identify, document, and escalate issues related to drug shortages or delivery delays.
