About The Position

Van Leeuwen Ice Cream is hiring a full-time Logistics & Inventory Coordinator to join our Supply Chain team. This role is critical to ensuring our products move efficiently, on time, and on budget from our production facility to distributors, retail partners, and DTC fulfillment centers. Beyond freight, this role owns CPG inventory management end to end, weeks of supply (WOS) tracking, on-time-in-full (OTIF) performance at retailers, and inventory transfers across our 3PL network and supports our scoop shop business through 3PL inventory management, intercompany freight coordination, and logistics cost management and controls. This is a high-impact, cross-functional role sitting at the intersection of operations, vendor management, and customer service. You'll work closely with our production, sales, and finance teams to coordinate domestic freight movements, manage carrier relationships, manage inventory health across our distributor and 3PL network, and help build the logistics infrastructure that supports Van Leeuwen's next stage of growth. This role will be based out of our Greenpoint, Brooklyn office and follow Van Leeuwen's Hybrid work model and be in office at least two to three days a week.

Requirements

  • 2 to 4 years of experience in logistics, freight coordination, inventory management, or supply chain, preferably within CPG, food & beverage, or perishable goods
  • Familiarity with LTL, FTL, and refrigerated freight operations
  • Experience working with distributors and retail accounts (UNFI, KeHE, DPI, or similar a plus)
  • Working knowledge of routing guides, EDI, and ASN processes
  • Proficiency in TMS, ERP, or WMS platforms; NetSuite or SAP experience a plus
  • Hands-on experience managing inventory KPIs: WOS, OTIF, fill rate, and inventory accuracy, including root-cause analysis and corrective action follow-through
  • Experience managing inventory at third-party (3PL) warehouses, including transfers, reconciliations, and cycle count support
  • Strong Excel / Google Sheets skills (pivot tables, lookups) for inventory, freight, and cost analysis and reporting
  • Familiarity with freight budgeting, invoice auditing, and cost controls; experience with intercompany or multi-entity operations a plus
  • Strong organizational skills with the ability to manage multiple shipments and priorities simultaneously
  • Excellent communication skills and a customer-service mindset
  • Must be comfortable working in-store scoop shifts once a quarter, while adhering to DOH guidelines

Responsibilities

  • Own CPG finished goods inventory visibility and accuracy across the network — production facility, 3PL warehouses, distributors, and DTC fulfillment centers
  • Manage weeks of supply (WOS) by SKU and location at distributors and retailers, monitoring sell-through and flagging out-of-stock and overstock risks before they impact service or margin
  • Plan and execute inventory transfers between 3PL warehouses, distributors, and fulfillment centers to balance stock, meet demand, and minimize freight and storage costs
  • Reconcile 3PL and WMS inventory records against the ERP, investigating discrepancies, shrink, and damaged or short-dated product and driving root-cause resolution
  • Report inventory KPIs (WOS, fill rate, inventory accuracy, aging) on a weekly cadence with clear recommendations for rebalancing or replenishment
  • Coordinate inbound and outbound freight movements across LTL, FTL, and refrigerated transport for CPG retail and distributor accounts
  • Book and manage shipments with carriers and 3PL partners, ensuring on-time pickup and delivery
  • Track shipments in real time and proactively communicate delays or disruptions to internal stakeholders and retail partners
  • Manage freight claims from initiation to resolution, including documentation and carrier follow-up
  • Ensure all shipments meet temperature and cold chain compliance standards required for frozen CPG products
  • Coordinate order fulfillment for key retail accounts (grocery, natural, club, and specialty channels), ensuring compliance with retailer routing guides and vendor requirements
  • Manage ASN creation and EDI coordination with retail partners and distributors
  • Monitor and reduce chargebacks and deductions related to logistics non-compliance
  • Manage OTIF (On-Time, In-Full) performance at retail partners — monitor retailer scorecards, perform root-cause analysis on misses, and implement corrective actions to minimize fines and protect vendor standing
  • Maintain up-to-date knowledge of retailer-specific routing, labeling, and scheduling requirements
  • Build and maintain strong relationships with carriers, brokers, and 3PL partners
  • Solicit and evaluate freight quotes, supporting cost optimization across the supply chain
  • Assist in identifying and onboarding new logistics partners as the network scales
  • Manage 3PL inventory and weeks of supply (WOS) for the scoop shop business, ensuring product availability for shops while minimizing excess, aged, and short-dated stock
  • Coordinate intercompany freight between production facilities, 3PL warehouses, and scoop shop distribution points, ensuring on-time, temperature-compliant, and cost-effective deliveries
  • Own cost management and controls for scoop shop logistics — track freight and storage spend against budget, audit carrier and 3PL invoices, flag variances, and identify savings opportunities
  • Support intercompany inventory transfers and reconciliation between the CPG and scoop shop businesses, ensuring accurate intercompany records in the ERP
  • Maintain accurate records of all shipments, freight costs, and carrier performance in TMS and ERP systems
  • Generate regular freight spend and performance reports, identifying trends and cost-saving opportunities
  • Collaborate with production and inventory planning teams to align shipment scheduling with production output and inventory availability
  • Support month-end close by reconciling freight invoices and accruals
