About The Position

Wallenius Wilhelmsen (WW) is a global leader in shipping and logistics, with over 155 years of experience and almost 10,000 employees across 29 countries. This role is based in Mississauga, supporting national operations, including the Vancouver vehicle processing terminal, which employs over 300 union and exempt staff. As the sole Auto Terminals operator of the Port of Vancouver, located on Annacis Island, WW handles, accessorizes, and distributes nearly 100% of all Asian-manufactured vehicle imports for the Canadian market, serving over a dozen top auto manufacturers. The Mississauga team focuses on providing end-to-end logistics for Nissan, managing the flow from Nissan plants and the Vancouver port, including shipping outbound through rail and trucking to dealers. In this Logistics Coordinator role, you will manage the release and delivery of NCI (Nissan and Infiniti) vehicles, ensuring smooth inventory flow and optimizing transportation costs. You will be the primary point of contact for external suppliers, building daily ad hoc reports on MS Excel, navigating internal systems, and using data to drive efficiency across logistics operations. Requirements

  • A university degree or equivalent experience is preferred.
  • Proficiency in Microsoft Office, with advanced expertise in Excel, including building and troubleshooting complex formulas.
  • Strong organizational and analytical abilities.
  • Excellent verbal and written communication skills, with a strong customer service orientation.
  • Strong planning, organizational, and critical thinking skills that support carrier performance and help achieve company objectives.
  • Ability to manage time efficiently and perform tasks in a timely manner, while meeting deadlines.
  • Well-organized and capable of working independently, while being flexible and comfortable in a dynamic work environment.
  • A self-starter who takes a proactive approach to problem-solving rather than a reactive one.
  • Ability to collaborate and communicate effectively with various departments within WWL VSA and Nissan Canada.
  • Competent in handling customer inquiries related to operational and logistics matters.
  • Strong troubleshooting and decision-making skills.
  • Practical understanding of operational constraints, including time and resources, and the ability to act accordingly.

Nice To Haves

  • Experience with forecasting and cost modelling is highly desirable.
  • Previous experience or comprehensive knowledge of logistics and supply chain management is preferred.

Responsibilities

  • Manage daily coordination with the plant, compounds, rail, and trucking companies to monitor the performance and inventory management of NCI vehicles.
  • Collect, analyze, and reconcile data from NCI reports, WITS, and external sources to document daily inventories, truck-away capacity, and rail pipelines across Canada.
  • Monitor released units to ensure product flow aligns with expectations, maintaining accurate system records and ensuring data is reflected correctly in both NCI and WW systems.
  • Conduct daily inventory sweeps, reconcile discrepancies, and correct data anomalies.
  • Investigate system anomalies and resolve potential issues affecting product flow and payment processing.
  • Interface daily with external suppliers regarding NCI’s vehicle releases, estimated delivery times, re-routes, priority moves, and other logistics requests, ensuring delivery meets or exceeds contracted parameters.
  • Communicate with NCI to maintain the highest standards of customer satisfaction, addressing vehicle distribution and sales-related inquiries promptly and accurately.
  • Review and respond to daily logistics requests, ensuring data integrity before involving external suppliers.
  • Coordinate and implement NCI’s Special Requisition requests for events such as National Auto Shows, Ride & Drives, Mall Tours, and press or fleet customer events. This includes importing prototype units from Japan, the U.S., or Mexico.
  • Arrange special requests, such as dealer pickups at compounds, and manage the disposition of damaged vehicles.
  • Obtain and negotiate carrier rate quotes to ensure cost-effective transportation to and from events.
  • Liaise with supply chain partners and specialized carriers to meet specific event timelines, including move-in and move-out schedules.
  • Prepare, audit, and verify manual freight invoices from carriers, ensuring accurate G/L and cost-center coding, and submit them to NCI finance for payment processing.
  • Follow up on unpaid or unprocessed payment requests to ensure timely carrier payment.
  • Regularly review and improve logistics processes to enhance efficiency and reduce costs.
  • Collaborate with team members to brainstorm and develop the best logistics solutions for more complex challenges.
  • Perform other duties as assigned.
