About The Position

The Logistics Coordinator plays a key support role within the Logistics and Planning team, with a strong focus on appointment scheduling, shipment tracking, and coordination of daily transportation activities. This role is essential to ensuring efficient execution of inbound and outbound shipments, supporting load planners with real-time updates, documentation, and communication across carriers, warehouses, and customers. The Logistics Coordinator also assists with customs documentation and broker communication, ensuring the compliant and timely movement of cross-border shipments.

Requirements

  • Post-secondary diploma or degree in Logistics, Supply Chain Management, Business Administration, or related field required.
  • 1 to 3 years of experience in transportation, logistics coordination, or customer service.
  • Familiarity with shipment tracking platforms and appointment scheduling is required.
  • Strong multitasking and organizational skills in a fast-paced environment.
  • Excellent communication and follow-up skills with internal and external partners.
  • Proficient in Microsoft (MS) Suite (Word, Excel, PowerPoint).
  • Detail-oriented with a proactive approach to problem-solving.
  • Able to work in a team environment with individuals of all leadership styles, personalities, and career levels
  • Proven ability to work in a fast-paced environment, demonstrate keen attention to detail and task-related accuracy, as well as consistent follow-through skills.
  • Excellent verbal and written communication skills

Nice To Haves

  • Experience in cross-border logistics or customs documentation is an asset.
  • Experience with TMS or ERP systems is considered an asset.
  • Bilingual (English/French or English/Spanish) is an asset.

Responsibilities

  • Schedule pickup and delivery appointments with shippers, consignees, and distribution centers.
  • Maintain and update appointment schedules in TMS and internal planning tools.
  • Communicate appointment details to carriers and warehouse teams.
  • Monitor dock availability and proactively adjust schedules to avoid delays or conflict.
  • Track all active shipments (inbound and outbound) in real-time using platforms such as TIVE, MacroPoint, FourKites, etc.
  • Monitor on-time pickup and delivery, escalating delays or issues to planners as needed.
  • Provide regular updates to internal stakeholders on ETAs and transit exceptions.
  • Act as the first point of contact for carriers needing status updates, directions, or confirmation.
  • Assist load planners with documentation prep, load detail entry, and updating status within the TMS.
  • Coordinate with warehouse and order fulfillment teams to ensure shipment readiness aligns with planned loads.
  • Upload and verify, customs docs, BOLs, and rate confirmations as assigned.
  • Help consolidate reporting on load status, carrier performance, and missed appointments.
  • Support customs documentation preparation for cross-border shipments, including Commercial Invoices, BOLs, and Packing Lists.
  • Communicate documentation needs to internal teams and ensure timely submission to brokers.
  • Track and record customs clearance status for both U.S. and Canadian shipments.
  • Maintain organized digital records of all shipments, appointment schedules, and custom fillings.
  • Assist in compiling reports on delivery performance, appointment adherence, and shipment timelines.
  • Support audit readiness by ensuring documentation accuracy and completeness.
