Logistics/ Shipping Coordinator I- Farmingdale, NY on site As a Logistics Coordinator at ICON, you are responsible for the set up and implementation of protocol specific logistics. You will monitor all inbound deliveries and outbound shipments from ICON's Farmingdale, New York location. The Logistics Coordinator is responsible for following up on delays and other issues with couriers to ensure client requirements are met. They will also be responsible for Proforma, Commercial Invoice creation, as well as liaising with clients in reference to the invoices.

Requirements

  • Working knowledge of computers, accuracy and attentiveness to detail is necessary.
  • Must be able to lift up to 60 lbs.
  • Must have experience in processing over 100 outbound shipments per day/ high volume.

Nice To Haves

  • Experience in Shipping or Logistics qualification preferred along with 2 years of experience.
  • Experience working in a CRO environment is a distinct advantage.

Responsibilities

  • To assist in the preparation of relevant documented instructions to ensure investigators fully comprehend the laboratory requirements of the protocol.
  • Contact couriers for required collection information based on protocol site lists as provided by Project Management.
  • Select couriers and provide collection information to Project Management in timely manner.
  • Document and research any issues with inbound deliveries or courier invoices/documentation.
  • Direct issues to relevant couriers or other contacts as required for clarification of the issue.
  • Create Proforma, Commercial invoices based on the commodities of a particular shipment, as well as any country or client specifications.
  • Liaise with client’s CRO or Importer regarding shipment notification or assisting their invoice requirements for an Import Permit.
  • To prepare and ship supplies to sites or other destinations as required (Dublin only).
  • Collects and maintains inbound and outbound courier performance metrics.
  • Obtains pricing quotes from carriers on shipments and seeks cost effective methods.
  • Attends inter-departmental and CLW meetings to guide PM on import and export regulations related to Kits and Specimen shipments.
  • To carry out specific tasks relevant to the logistics assigned by the Logistics Management.
  • Prepare domestic and international shipments courier airbills for transport through the various courier systems.
  • Package shipments if necessary.
  • Maintain daily shipping records/reports.
  • Deliver high quality standards and strive for excellence, acts in a proactive, flexible manner to customer needs.
  • Performs additional related duties as requested by management.
