About The Position

The Logistics & Inventory Supervisor maintains an accurate and up-to-date record of all materials and finished products on-site, including their storage locations and upcoming movements. This role bridges the factory's production plan with receiving activities, inventory records, carrier bookings, loading documentation, yard space management, and project delivery commitments. Reporting to the Director of Manufacturing, the Supervisor primarily focuses on organizing the logistics and inventory support team, verifying records, managing shipment and inventory schedules, resolving discrepancies, and collaborating with other departments. The role ensures drivers, forklift operators, and yard staff have the necessary information for their tasks.

Requirements

  • A diploma, certificate, or other post-secondary education related to supply chain, logistics, business operations, production, or manufacturing management; equivalent relevant training and experience may be considered.
  • Demonstrated experience owning inventory accuracy and coordinating receiving, outbound shipments, storage, and delivery schedules in a warehouse or manufacturing environment.
  • Experience guiding employees whose work involves records, schedules, shipping documents, inventory transactions, or other logistics support activities.
  • Practical knowledge of bills of lading, inventory counts, stock rotation, carrier coordination, material staging, and finished-product storage.
  • Comfort working in Microsoft Office, SharePoint, ERP or inventory systems, and learning new digital workflows.
  • Clear written and verbal communication with production teams, suppliers, carriers, project contacts, and employees.
  • Sound judgment when priorities conflict, information is incomplete, or a shipment or inventory issue requires an immediate decision.
  • Consistent attention to detail and the ability to follow issues through to completion without losing sight of daily deadlines.

Responsibilities

  • Maintain the factory's two- to three-week logistics calendar by integrating planned production completions, confirmed carrier bookings, expected material receipts, project delivery dates, and available storage locations.
  • Verify that all transactions, count sheets, shipment packages, photographs, and schedule changes are completed and stored correctly before deadlines.
  • Delegate administrative tasks related to receiving records, inventory entries, shipping paperwork, delivery scheduling, and finished-product tracking among team members.
  • Conduct regular check-ins with logistics and inventory employees to address overdue items, clarify roles, and manage shifting priorities.
  • Train new team members on Paradigm's use of SharePoint, inventory tools, bills of lading, storage maps, and internal communication channels, providing ongoing support.
  • Address recurring documentation errors, missed follow-ups, or knowledge gaps with employees, escalating significant performance issues to the Director of Manufacturing.
  • Provide drivers, forklift operators, yard staff, and production leads with specific load sequences, staging locations, destinations, and timing; direct staffing or equipment concerns to the relevant manager.
  • Confirm pickup and delivery times with carriers and internal contacts, including LTL arrangements, and notify affected teams of any booking changes.
  • Ensure that outgoing loads match the shipping request in terms of listed product, quantity, destination, packaging, labels, and supporting records.
  • Prepare and file bills of lading, packing lists, shipment labels, load photographs, and delivery records in SharePoint.
  • Track shipments through delivery, record freight costs, and resolve issues with carriers or internal teams for missed pickups, damaged products, or unclear delivery information.
  • Keep production, customer service, and project contacts informed about shipment status, expected arrival times, and any issues impacting their schedules.
  • Maintain current inventory and purchasing records for all material movements (receipt, transfer, issuance to production, staging, shipping, returns).
  • Schedule and conduct routine physical inventory counts in the warehouse and yard, compare physical quantities with system balances, and investigate discrepancies before adjustments.
  • Review stock levels against upcoming production needs and provide early notification to Purchasing regarding potential shortages of materials or supplies.
  • Update inventory and yard maps to reflect the current location and status of stored materials and finished products.
  • Set priorities for picking and staging based on production and shipping schedules, ensuring materials are clearly identified before movement.
  • Monitor storage conditions, stock rotation, and product identification to minimize damage, loss, weather exposure, or obsolete stock.
  • Synchronize records for finished products, storage locations, planned delivery dates, and shipment status.
  • Coordinate Vendor Managed Inventory (VMI) counts, replenishment information, and access controls with suppliers.
  • Prepare concise updates for the Director of Manufacturing on inventory accuracy, upcoming shipments, freight costs, overdue records, storage concerns, and unresolved exceptions.
  • Investigate the root causes of recurring variances, missing paperwork, carrier delays, or handoff problems, and modify local workflows for improved control.
  • Update logistics and inventory procedures to reflect changes in systems, forms, responsibilities, or factory processes.
  • Ensure shipment, storage, and inventory practices comply with Paradigm's safety, security, quality, and record-retention standards, including relevant ISO controls.
  • Report issues with inventory software, scanners, printers, or other logistics tools and follow up with IT, maintenance, or service providers for reliable functionality.
