About The Position

The Loan Support Specialist performs a variety of support duties related to the lending functions within the credit union. This role involves greeting and directing members, answering basic lending questions, and maintaining the quality control of loan files and documentation. The specialist will be responsible for daily loan file maintenance, processing and funding approved loan applications with an emphasis on response time and accuracy, and managing records for various programs like the Collateral Protection Program and Debt Protection Program. Additionally, the role includes handling incoming and outgoing titles, working with insurance companies to ensure collateral insurance, processing vehicle total loss claims, and preparing files for destruction. The position also involves daily errands, preparing thank you letters, managing mail, operating office equipment, and providing clerical support to the loan department. There is also a back-up function for the Mortgage Loan Processor and responsibilities related to verifying loan information and entering membership data. The role may require serving as a Notary Republic and performing other duties as needed, including quality control reviews on newly funded loans. Compliance with all company policies, laws, and regulations, including data protection, is mandatory.

Requirements

  • Associate’s degree from an accredited college or High School graduate plus 1 year office/clerical experience.
  • Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 20 lbs.
  • Must be capable of climbing/descending stairs in emergency situation.
  • Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator.
  • Must be able to routinely perform work on computer for an average of 6-8 hours per day.
  • Must be able to work extended hours whenever required or requested by management.
  • Must by capable of regular, reliable and timely attendance.
  • Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise.
  • Must be able to perform job functions with supervision and work effectively either on own or as part of a team.
  • Must be able to read and carry out various instructions and follow oral instructions.
  • Must be able to speak clearly and deliver information in a logical and understandable sequence.
  • Must be able to perform basic mathematical calculations with extreme accuracy.
  • Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of member service and discretion when dealing with the public.

Responsibilities

  • Maintains loan files on a daily basis, files new loans after review for accuracy and completeness by the Loan Supervisor, and maintains file of loans pending new LOC, cancels and files paid loans, maintains security for loan files.
  • Processes and funds approved loan applications placing emphasis on response time, quantity of applications, and quality of error-free loan documentation.
  • Processes the funding of approved loan applications, placing emphasis on response time while confirming funding details with the approving loan counselor.
  • Welcomes all members, prospective members, visitors, and general public in a courteous manner and directs members and public to appropriate department for servicing.
  • Assists members in scheduling appointments.
  • Responds to telephone inquiries on member loan accounts, loan programs, pay offs, etc. and conducts research as required.
  • Maintains record pertaining to the Collateral Protection Program (CPP) and responds to member inquiries relating to CPP.
  • Maintains the Debt Protection Program records and assists with members with Debt Protection claim inquiries and forms.
  • Process Debt Protection in a timely manner.
  • Process research requests/retrievals on source documents, microfiche, microfilm, optical.
  • Review and processing of various daily Synergy reports.
  • Processes incoming and outgoing titles for auto loans.
  • Works directly with our insurance monitoring company, insurance agents, and members to maintain and update insurance policies on all loans that require collateral insurance.
  • Processes vehicle total loss claims.
  • Process SSI and AVS asset verification requests.
  • Prepare old and paid of loan files for annual document destruction.
  • Conducts daily errands to the post office, DMV, banks and other companies.
  • Responsible for preparing and processing thank you letters for paid off loans.
  • Receive, open, and distribute incoming mail under dual control procedures and prepares teller mail for posting.
  • Prepares and delivers outgoing mail.
  • Operates copy, scanner and facsimile machines, upkeep and maintains file of incoming documents, transmits materials and documents, insures sufficient paper supply, and reports equipment problems to supervisor.
  • Provides typing and clerical support to the loan department.
  • Assists branch offices with request for loan file research.
  • Prepares response to account verification requests.
  • Back-up to Mortgage Loan Processor in preparing and processing loan payoffs and HELOC recalculations and may perform file maintenance and prepare advance vouchers for HELOC advances conducted via in-branch, mobile app or home banking.
  • Verifies all information on newly opened and closed loans.
  • Enter membership information into computer terminal to assist the start of loan applications for individuals waiting to be seen by a Loan Counselor.
  • May be required to serve as Notary Republic.
  • Other functions and duties may be required as needed by the Department.
  • Act as a quality control review on newly funded loans by Loan Counselors.
  • Must comply with all company policies and procedures, applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
  • Assumes accountability in data protection.
