About The Position

This position assists loan administration and loan officers with all aspects of loan administrative duties. The loan administration assistant will need to have basic lending knowledge and be self-motivated to stay on top of assigned tasks. This position will be responsible for collection and tracking of insurance, scanning and filing loan documents, completing cash flow analysis, and other duties as assigned. Upholding customer confidentiality is a must.

Requirements

  • High school diploma or equivalent.
  • One year prior loan processing or loan administrative experience required.
  • Ability to complete complex cash analysis.
  • Demonstrated aptitude for accuracy with numbers.
  • Strong decision making skills.
  • Ability to plan, prioritize, meets deadlines, manage multiple tasks, and work under pressure.

Nice To Haves

  • One year prior experience with force placed insurance highly preferred.
  • Basic knowledge of the bank’s products and services preferred.
  • Prior experience in a customer service environment preferred.
  • Experience with calculators, standard office equipment, and PC software such as Excel, Word, and Outlook preferred.
  • Prior experience working within a team environment preferred.

Responsibilities

  • Coordinates insurance operations such as obtaining forced place insurance coverage and answering questions from customers and insurance agents in regards to the bank’s insurance policies and procedures.
  • Maintains reports showing customers who do not have proper insurance coverage.
  • Completes cash flow analysis as needed.
  • Balances construction budgets.
  • Advances money from pre-approved lines of credit.
  • Works with loan officers and completes modifications on maturing loans.
  • Provides loan status reports to management on a regular basis and attends loan meetings as needed.
  • Assists with collection duties on past due loans as needed by Loan Officers.
  • Assists loan officers in the preparation of loan paperwork by verifying that CIP and OFAC verifications are complete.
  • Types loans as requested by Loan Officer.
  • Sets up and maintains files for current and paid off loans.
  • Organizes pending loan files and keeps a list of items needed for all in-progress loans.
  • Balances repossessions and other bank property on an as needed basis.
  • Closes loans in adherence with all bank policies and procedures.
  • Prepares loan packages in accordance with financial standards, policies, and procedures.
  • Checks documents for proper vesting, legal descriptions, closing dates, and signatures.
  • Prepares commercial and residential real estate documentation for Vienna loan processors to type.
  • Assembles loan documentation and verifies it’s accuracy.
  • Files loan documents.
  • Collects and tracks financial documentation as needed from borrowers.
  • Assists loan officers by pulling credit reports, preparing loan requests for various committees and the Board of Directors.
  • Processes and files title applications, liens, UCC forms, appraisals and other specified records and reports.
  • Performs general secretarial and clerical duties, including typing, copying, and filing correspondence and other documents including memos, minutes, past due reminders, etc. for the Lending Officers.
  • Obtains lien waivers and completes draws requests for construction loans.
  • Transcribes and/or types a variety of technical and non-technical correspondence and documents such as new loans, loan renewals, loan denials, loan extensions, and letters.
  • Turns over balanced, completed, and organized loan files in a timely fashion to the Loan Administration Officer.
  • Maintains a working knowledge of the bank’s lending policies and procedures.
  • Backs up Loan Admin for loan file requests.
  • Comprehends general ledger accounts/transactions.
  • Acts as a notary for the bank.
  • Answers the main phone line, researches challenging customer inquiries and directs calls to other departments as needed.
  • Assists customers and other financial institutions over the phone, in person, or in writing with routine inquiries regarding payoffs & general loan inquiries.
  • Attends training to keep abreast of changes in federal and state banking regulations and ensures that changes are implemented in a timely fashion.
  • Serves customers in a cordial and professional manner to ensure customer satisfaction with service provided by the bank.
  • Follows bank policies and procedures, including state and federal regulations at all times.
  • Takes advantage of opportunities to promote the Bank when involved in voluntary community activities and civic organizations to cross sell the Bank’s products and services.
  • Maintains departmental appearance, both personal and general.
  • Assists in other departments as needed and acts as a resource to other departments regarding lending issues.
  • Completes other duties as assigned.
