About The Position

TransX is seeking a highly confident, collaborative, and proficient Licensing Coordinator to support and ensure that all licensing and permit-related activities are performed according to regulatory compliance and Safety division standards. The Licensing Coordinator manages applications for new issuance, renewal, cancellation, amendment, or upgrades of every license and permit required to operate the fleet in accordance with Federal, Provincial, and US regulations. This role is essential for maintaining operational flow that provides end to end assistance for the assets and all TransX customers for acquiring licensing and permits on-time and aligns with with the TransX Core Values for Teamwork, Safety, Innovation, Accountability, Integrity and Respect.

Requirements

  • Grade 12 diploma with post-secondary education in administration or office management.
  • 1 to 2 years of office experience in a related role with strong customer service skills.
  • Proficiency in MS Office and proprietary software programs.
  • Understanding of commercial motor vehicles, road safety standards, and licensing compliance.
  • Excellent verbal and written skills with the ability to influence outcomes.
  • Strong multitasking skills with high attention to detail under tight timelines.
  • Ability to work effectively with diverse technical teams and maintenance resources.

Nice To Haves

  • Administrative experience within the transportation or logistics industry is considered an asset.

Responsibilities

  • Complete daily, weekly, monthly, and yearly licensing administration for the fleet.
  • Manage onboarding of new company and Owner Operator assets, including MPI paperwork, plate orders, and creating licensing books.
  • Handle ownership changes, lease buyouts, weight group adjustments, and plate replacements.
  • Facilitate trailer licensing with Marsh Canada, managing NVIS and original registrations.
  • Perform cost-benefit analysis for new permits, licensing, and weight groups.
  • Process off-contract equipment, transferring plates and updating TOD (Transfer of Ownership) documentation.
  • Order and distribute permits for new fleet units based on specific divisions and lanes.
  • Renew truck-specific annual permits (NY HUT, Oregon, Customs Transponders, Idaho Hazmat, 2290 Heavy Use Tax).
  • Manage fleet-wide annual permits including LCV, Over-dimensional, Alcohol, and Operating Permits (UCR, CVOR, MB Safety Certificate).
  • Order on-demand special permits (Liquor, Jurisdictional) and cancel permits for units leaving the fleet.
  • Scan and maintain truck and permit files; update SOPs and Licensing Manuals.
  • Compile mileage data for US Tax 2290 Rebate filings and reconcile VISA purchase receipts.
  • Manage inventory for plates, licensing binders, and office supplies.
  • Request and distribute insurance certificates for customers and Owner Operator leasing.
