About The Position

Orange Coast College (OCC) is seeking equity-minded individuals for a classified employee role as a Library Clerk Senior under the Library & Learning Support Division, as part of the Office of Instruction. OCC's mission is to serve the educational needs of a diverse local and global community, empowering students through high-quality, culturally responsive, and innovative programs. The college enrolls 17,859 students, with a majority from racially minoritized populations, and is a designated Hispanic-Serving Institution (HSI) and an Asian American Native American Pacific Islander-Serving Institution (AANAPISI). The OCC library supports student success by providing resources, instruction, and encouraging lifelong learning. It maintains a diverse collection of materials, offers interlibrary loan, and provides access to photocopiers, scanners, media viewing stations, and a computer lab. Librarians offer lectures, workshops, and a transferable course (Library 100) to develop information competency skills. The library provides reference services and an academic environment for study and collaboration. Requirements

  • Working procedural knowledge of standard library methods, practices, and terminology including use of library catalogs.
  • Basic knowledge of a library classification system, subject headings, and library filing rules.
  • Basic knowledge of library automation systems and their relation to college financial records.
  • Sufficient communication skills in order to serve customers and to interact with staff and faculty.
  • Sufficient arithmetic skills to arrange materials in numerical sequence and calculate sums needed for handling cash and recording circulation data.
  • Sufficient English writing skills to document instructions on library procedures.
  • Sufficient human relations skills to convey technical information to patrons and to provide work instructions to others.
  • Knowledge of Excel and general accounting practices.
  • Ability to perform the essential responsibilities and functions of the position.
  • Ability to follow detailed procedures.
  • Ability to understand library operations, goals and objectives.
  • Must be able to apply and explain library rules, regulations and policies.
  • Ability to deal courteously with library patrons.
  • Must be able to perform routine clerical and record keeping duties.
  • Must have the ability to work evenings and weekends.
  • Associate’s degree and one year of related experience plus one year of experience in a higher education library or instructional support setting with demonstrated accounting responsibilities.
  • Demonstrated evidence of responsiveness to and understanding of the racial, ethnic, disability, gender identity, sexual orientation, socioeconomic, academic, and cultural diversity within the community college student population, including students with different ability statuses (e.g., physical and/or learning) as these factors relate to the need for equity-minded practice within the classroom.

Responsibilities

  • Receives and verifies the content of orders. Processes invoices after making adjustments to denote the proper amount and type of inventory received or to be returned.
  • Assists faculty, staff, students, and other visitors with use of the library. Assists them to find materials, pointing out library resources, and introducing visitors to librarian for assistance in research.
  • Shelves new and returned materials (books, media, or periodicals) in the absence of student employees and ensures accurate data entry into the library system.
  • Circulates, stores, and inventories books, periodicals, and audiovisual materials including those that are overdue.
  • Processes a full range of library materials within established parameters.
  • Provides technical services such as interlibrary loan including those required for cooperative library system materials and maintaining the course reserve collection.
  • Maintains current procedures manuals for the position. Cross-trains other staff members.
  • Performs routine clerical and record keeping duties.
  • Provides guidance and training to student employees.
  • Monitors and reconciles library book budget and other fund accounts to ensure proper accounting procedures for all funds.
  • Creates purchase orders using Vendor and Banner software to spend funds from library general fund accounts, lottery funds (when available), Friends of the Library foundation accounts, and ancillary fund account.
  • Understands and assigns account numbers to purchase orders and fund transfers to properly assign expenses for reporting purposes.
  • Manages ordering supplies according to District rules and standards and maintains supply inventory for department.
  • Maintains current knowledge of District and college processing of purchase orders and other financial records.
  • Processes daily arriving periodicals and newspapers.
  • Performs other related duties as assigned that support the objective of the position.
  • Required to abide by all District policies and procedures including Board Policy 3050 – Code of Professional Ethics.
