About The Position

The Washington County District Attorney’s Office is seeking a detail oriented and adaptable professional to join our Records and Analytics Support (RAS) Team as a Legal Specialist I/II. As part of this team, you will play an important role supporting our criminal prosecution work and advancing the office’s data driven approach to operational decision making and public reporting. You do not need prior legal experience to excel in this role. Records and Analytics Support Legal Specialists work in a supportive, team-oriented environment and regularly collaborate with trial team staff, deputy district attorneys, law enforcement agency partners, and court personnel. The position requires the ability to manage high-volume workloads, multi-task concurrent tasks, adapt to shifting workflows, and pivot quickly to address time-sensitive issues as they arise. Responsibilities include meticulous data entry, on-going data tracking, and data quality control within the District Attorney’s Office case management system to maintain data integrity. The position requires strong critical thinking skills, exceptional attention to detail, and a commitment to maintaining accurate, consistent, and reliable data in a fast-paced, dynamic work environment. It is important to note that all DA’s Office employees are exposed to sensitive case-related materials. Employees may see and overhear difficult content, including police reports, crime scene photos, body-worn camera footage, and 911 calls. Legal Specialists on the Records and Analytics Support Team frequently read police reports about traumatic incidents, including violent crimes, child abuse, sexual assaults, and homicides.

Requirements

  • Four (4) years of experience providing administrative or clerical support, two (2) years of which must be in a legal support role in a law office or in an office environment with a focus on legal issues; OR Four (4) years of experience providing administrative or clerical support, one (1) year of which is in a prosecutor's office.
  • A Bachelor's or Associate's Degree in a related field or a Paralegal certificate may substitute for two (2) years of experience.
  • Must pass a comprehensive background investigation.

Responsibilities

  • Creating electronic case files for newly booked defendants, reviewing imported data for accuracy, and correcting/entering missing information
  • Collecting reports and documents from law enforcement agencies and distributing the materials for attorneys to review before charging deadlines
  • Creating electronic case files for non-booked/lodged law enforcement referrals and reviewing reports to identify relevant details, such as charges, location, and information on victims, witnesses, and officers
  • Requesting additional case materials, retrieving supplemental documents, and updating case records as new information is received.
  • Maintaining data quality by validating entries, resolving inconsistencies, and applying standardized tracking codes.
  • Monitoring electronic communications and processing court documents such as motions, orders, general purpose orders, hearing notifications, and attorney appointments.
  • Creating and maintaining profiles for defendants, victims, witnesses, and other individuals involved in cases.
  • Entering judgment, sentencing, and probation related information and updating records when conditions change.
  • Processing court scheduled hearings, researching import errors, and notifying staff about upcoming dates or cancellations.
