This role is responsible for understanding client matter workflows, including charge backs for work, supplies, and hours. The specialist will need knowledge of various legal documents such as closing binders, depositions, transcripts, briefs, addendums, filings, discovery, and judgments. A high standard of professionalism and office etiquette is essential, as is assisting with scheduling equipment, labor, and supplies for offsite trials. The general responsibilities include delivering exceptional customer service, troubleshooting equipment, collaborating with team members, and supporting building functions. Flexibility is key, as the role may involve assisting with meeting room setups, light maintenance, and reception duties. Upholding safety standards, handling confidential documents, maintaining billing and reporting logs, distributing mail and packages, and delivering reproduction work are also core functions. Additionally, the specialist will perform scanning, file conversion, file naming, encryption, batch printing, and daily quality checks on copiers, along with maintaining service logs and managing firm conference rooms and visitor offices. Occasional assistance with facilities tasks like box moves, office moves, and light maintenance, as well as periodic overtime and cleaning duties, may be required.
