About The Position

The purpose of this classification is to perform a variety of legal clerical/secretarial work in support of the Prosecutor’s Office; and to provide general information and assistance to staff, the client, and the public.

Requirements

  • High school diploma or GED; additional vocational coursework or technical training in business, paralegal, or law enforcement or a related field and three (3) years of experience including public contact and secretarial work, preferably in a law office; or an equivalent combination of education, training, and experience.
  • Ability to compose and type multiple different types of legal filings and correspondence using prescribed formats and conform to all rules of punctuation, grammar, diction and style.
  • Ability to perform basic level of data analysis.
  • Ability to comprehend and process a variety of legal documents.
  • Ability to understand and utilize multiple computer programs and databases, including Word, Outlook and Excel and the ability to learn new specialized databases.
  • Ability to develop and maintain effective working relationships with a variety of individuals within and outside the Unit.
  • Ability to use and interpret basic legal terminology and language.
  • Ability to draft a high volume of legal documents efficiently and accurately.
  • Ability to think logically and resolve issues with minimal supervision.
  • Ability to communicate with the public, co-workers, supervisors, attorneys, victims and family members, and employees and managers of other departments.
  • Ability to maintain confidentiality of law enforcement and PCSA investigatory records and other confidential information.
  • Ability to perform under pressure and meet deadlines.
  • Must possess a strong work ethic.

Responsibilities

  • Prepares legal documents, including, but not limited to, legal briefs and memorandum, legal motions, subpoenas, court orders, writs, appeals, correspondence, or other legal documents.
  • Ensure that deadlines are met by coordinating and tracking the progression of legal documents from receipt to filing.
  • Utilizes the correct document format; proofs and/or corrects legal documents for grammar, spelling, punctuation and conformance to established procedure or other guidelines; verifies information.
  • Processes department reports; reviews submitted documents to ensure all necessary information is included and obtains necessary information when it has not been included.
  • Types, transcribes and/or composes all correspondence, motions, briefs, and other legal filings; enters data into a spreadsheet or database programs for statistical reports; uses Unit forms and standardized language when drafting documents.
  • Reviews, updates, maintains and tracks electronic and hardcopy files.
  • Inputs, updates, retrieves, deletes, scans, copies, and faxes documents and associated information from multiple databases; prepares and categorizes document content to open and update case files; initiates and tracks assignments and case files.
  • Assists with receptionist duties when necessary; assists and responds to requests for information from County employees and the public in person or by phone; provides basic information on department and assigned program policies and procedures; accepts and receives deliveries and notifies recipients; sorts and distributes incoming and outgoing mail.
  • Schedules meetings and appointments; Coordinates meetings, seminars and other events; prepares agenda, sign-in sheets, conference room set-up and guest speakers; takes and distributes minutes.
  • Communicates with Assistant Prosecuting Attorneys, professional staff, supervisors and CFS staff to ensure that the needs of the Unit are met.
  • Performs all other duties assigned, delegated or required of a Legal Secretary.
