As the Legal Office Assistant for the City and Borough of Juneau Law Department, you’ll work alongside attorneys and paralegals as part of the team that keeps municipal law operations organized and running smoothly behind the scenes. This entry-level position offers a steady, in-person work environment with a high degree of independence and the opportunity to take ownership of a long-term initiative modernizing how the Law Department manages its legal records. Records management and archiving are the primary focus of the position, balanced throughout the week by routine office responsibilities and smaller projects supporting the department’s attorneys and paralegals. No prior legal or records management experience is necessary; we’ll provide the training needed to learn the role and succeed. Requirements

  • High School graduation or the equivalent.
  • Three (3) months of work experience that includes clerical responsibilities.
  • Comfortable using basic technology, including email, scanners, printers, and electronic file management.
  • Ability to handle confidential and sensitive information with professionalism and care.
  • Willingness to learn new processes and shift between long-term projects and other administrative responsibilities as needed.
  • Focused, dependable individual who enjoys organized, methodical work and can remain engaged with repetitive or long-term projects.
  • Strong attention to detail and takes pride in completing work accurately and consistently.
  • Enjoys bringing order to large amounts of information and developing practical systems to keep things organized.
  • Ability to work independently, manage time, and maintain progress on projects with minimal supervision.
  • Reliable and comfortable with a position that requires consistent, in-person attendance.
  • Friendly and professional when answering phones, responding to emails, and assisting occasional visitors.

Responsibilities

  • Review, organize, scan, label, and index closed legal files.
  • Convert paper records into organized and searchable electronic files.
  • Prepare records for secure storage or destruction in accordance with established procedures.
  • Answer phone calls, take messages, and monitor shared email inboxes.
  • Assist occasional walk-in visitors and direct incoming information and requests to the appropriate staff member.
  • Handle incoming and outgoing mail.
  • Scan and assemble basic legal documents.
  • Update legal reference materials.
  • Keep shared office and conference spaces organized.
  • Assist with minor technology troubleshooting.
  • Organize and parse discovery files for litigation casework.
  • Perform other projects as assigned.
