About The Position

The Foundation for Affordable Housing (FFAH) is a non-profit organization dedicated to creating safe, comfortable, high-quality affordable homes that enrich the lives of residents and enhance surrounding communities. With over 38 years of experience, FFAH has developed and managed numerous affordable housing communities across the United States and provides vital services and resources to residents and the local communities. We are seeking a Full-Time (40 hours), proactive and detail-oriented Legal Office Admin to join our team in our Chicago, IL office. This role is essential in ensuring the smooth day-to-day operations of our office while fostering a positive company culture. The ideal candidate will be organized, reliable and capable of managing multiple tasks with a high level of professionalism.

Requirements

  • Previous experience in office coordination, administration or similar role
  • Strong organizational and multitasking skills with attention to detail
  • Excellent communication and interpersonal skills
  • Ability to pivot from task to task with changing priorities
  • Proficiency in Microsoft Office Suite & Outlook email
  • Proactive, adaptable, and capable with working independently
  • Must have valid drivers license and reliable vehicle
  • High school GED minimum requirement

Responsibilities

  • Run business-related errands as needed; driving will be needed from time to time
  • Manage snack and lunch orders for the office; manage expense reports related to ordering
  • Assist with travel arrangements and accommodations when required
  • Prepare and organize documents for execution
  • Heavy scanning, emailing, faxing and mailing office, with frequent runs to FedEx
  • Oversee office supply inventory and place orders as needed
  • Maintain a clean, organized and functional office space
  • Manage incoming and outgoing mail and deliveries
  • Answer and direct phone calls
  • Support initiatives to promote a positive work environment and team engagement internally, and with the local community
  • Assist with staff and client event coordination
  • Support account management functions, such as maintaining records and vendor relationships
