We are seeking a compassionate, detail-oriented Legal Intake Specialist to serve as the first point of contact for prospective clients seeking guidance related to Medicaid planning, estate planning, asset protection, long-term care planning, and special needs planning. This is a client-facing, conversation-driven role that directly impacts both the client experience and the firm's growth. The individuals and families who contact our firm are often overwhelmed, confused about complex planning issues, or anxious about protecting their assets and loved ones.

Requirements

  • Minimum of 2 years of experience in intake, customer service, client services, call center, or phone-based client support roles.
  • Current experience working in a law firm is required.
  • Strong verbal and written English communication skills.
  • Ability to build rapport quickly and establish trust over the phone.
  • Ability to guide conversations naturally without sounding scripted.
  • Ability to remain calm, professional, and empathetic when speaking with stressed or emotional callers.
  • Comfortable following structured processes and documented procedures.
  • Experience using CRM systems and maintaining detailed records.
  • Ability to type and take notes while actively engaging in a conversation.
  • Reliable internet connection and a quiet, professional remote work environment.

Responsibilities

  • Qualify prospective clients according to firm guidelines and established criteria.
  • Maintain accurate and detailed CRM records and notes.
  • Identify the nature of each caller's legal concerns
  • Gather and verify financial, personal, and situational information accurately.
  • Conduct follow-up calls with prospective clients.
  • Answer inbound calls promptly, professionally, and with empathy.
  • Schedule consultations with attorneys and advisors when appropriate.
  • Follow established systems, scripts, workflows, and training protocols.
  • Deliver a professional and compassionate client experience on every interaction.
