About The Position

The Legal Finance Coordinator manages the intake process for new clients and serves as the liaison with affiliated legal practice. Provides a wide range of administrative support to the practice’s attorneys and professionals including coordinating financials, maintaining case metrics and day-to-day administration of the practice.

Requirements

  • High level of proficiency in MS Word; intermediate proficiency in Excel and PowerPoint.
  • Knowledge of various court requirements for filing documents and e-filing processes and procedures preferred.
  • Aptitude for learning and use of other office software and technology as needed.
  • Strong written and verbal communication skills; proficiency in spelling and correct use of English grammar and punctuation.
  • Excellent proofreading skills.
  • Detail oriented
  • Ability to exercise sound initiative and judgment.
  • Ability to work cooperatively and professionally with co-workers and supervisors.
  • Ability to manage multiple priorities and work in a fast-paced, team-oriented environment.
  • Work schedule flexibility, including availability for overtime.
  • Three to five years of accounting/financial/administrative experience in a law firm or similar professional environment.

Responsibilities

  • Manage inflow of new cases and clients, prepare and coordinate execution of engagement letters, submit new file openings and conflict checks as requested in accordance with the Firm’s guidelines for new client and matters.
  • Create, format, edit, proofread, and manage Word documents, Excel spreadsheets, and PowerPoint presentations. Draft routine correspondence, forms, etc. under the supervision of an appropriate attorney/professional.
  • Assist Office Managing Partner with coordinating case financials between the Firm and affiliated legal practice to determine appropriate attorneys’ fees and expense reimbursements.
  • Manage calendars, scheduling and coordinate changes in meeting schedules using independent judgment and knowledge of priorities. Schedule depositions, hearings, etc.
  • Perform administrative responsibilities such as: process client distributions from IOLTA and, manage monthly billing procedures, establish and maintain up-to-date electronic and physical client files, and closing inactive client files.
  • Make travel arrangements.
  • Track, organize, and process attorney expense reimbursements, invoices, and check requests.
  • Work independently or under general direction to complete special projects and assignments.
  • Perform other duties as assigned.
