About The Position

Our client is seeking a Contingent Legal Executive Assistant for a 3-6 month contract with the potential for permanent employment. This role provides high-level administrative support to lawyers, managing the daily functions of their practice to allow them to focus on client development and practice management. The position requires serving as an executive-level assistant, fostering connections, and ensuring accuracy in meetings and materials to meet practice and client priorities. The role is based in the Boston office, with standard hours of Monday through Friday, 9:00 AM to 5:30 PM ET, and requires regular in-office presence.

Requirements

  • Minimum of five years of administrative experience in a corporate or legal environment providing support to upper-level leadership.
  • Expert experience with technology, research tools, case management software, and standard applications including Word, PowerPoint, and Excel.
  • Skilled in adapting to application upgrades and the use of AI-Powered Tools for document production, review, and case research.
  • Utmost professionalism and discretion regarding confidential information and sensitive legal matters.
  • Proven ability to convey complex information clearly and concisely, both in writing and verbally.
  • Takes initiative to enhance existing abilities and learn additional skills.
  • Demonstrates adaptability and a commitment to continual development.
  • Process-driven professional with excellent time management.
  • Ability to prioritize tasks and multitask efficiently in a fast-paced setting.
  • Works well under pressure, stays positive, and is capable of working effectively in a demanding environment.
  • High School diploma or GED is the minimum requirement.

Nice To Haves

  • Four-year Bachelor's Degree in legal studies, business administration, or a related field.

Responsibilities

  • Provide support and management of the attorney’s projects ensuring deadlines are met and tasks are completed efficiently.
  • Serve as a liaison between attorneys, clients, and other internal departments, handling inquiries and relaying messages accurately.
  • Delegate assignments as necessary to Legal Support Assistants ensuring timely and accurate completion.
  • Draft, proofread, and finalize legal documents, correspondence, and presentations on behalf of the attorney.
  • Oversee billing matters including all approval forms, collaboration correspondence, and ensuring prebills are processed accurately and timely.
  • Manage the attorney’s calendar, schedule meetings, resolve conflicts, and organize complex travel itineraries.
