About The Position

The Legal Coordinator I – IP Operations & Divisional Support provides administrative, coordination, and operational support to the Legal Department, with primary responsibility for supporting trademark clearance workflows and coordinating patent-related administrative activities. This role supports a designated business division and serves as a central point of coordination among business stakeholders, in-house counsel, internal partners, and outside counsel. The Legal Coordinator I does not provide legal advice or perform legal analysis but is responsible for ensuring that intellectual property (IP) and related legal processes are executed efficiently, accurately, and in accordance with established procedures.

Requirements

  • Bachelor’s degree or equivalent experience in a legal, IP, marketing, engineering, or other business-related functions
  • Experience working with databases, trackers, or workflow systems
  • Exposure to manufacturing, engineering, R&D, or product development environments
  • Strong organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks and deadlines in a process-driven environment
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook)

Responsibilities

  • Provide day-to-day legal administrative support for an assigned business division
  • Serve as a point of contact for legal intake requests related to branding, marketing, and IP matters
  • Track legal matters and maintain accurate records, trackers, and documentation
  • Coordinate contract and approval workflows, including intake, routing, execution tracking, and recordkeeping
  • Prepare routine legal reports and status updates for internal stakeholders
  • Schedule meetings and coordinate communications between Legal and business teams
  • Maintain organized electronic and physical legal files in accordance with department standards
  • Coordinate trademark review requests between business stakeholders, in-house counsel, and outside trademark counsel
  • Maintain trademark databases and trackers, including status updates and key milestones
  • Coordinate with internal accounting and finance teams regarding patent-related fees, invoicing, budgeting, and cost tracking
  • Support patent-related audits, documentation requests, and internal reviews
  • Follow established legal and IP procedures to ensure consistency, accuracy, and compliance
