About The Position

The Legal Billing and Collections Specialist is responsible for full-cycle billing and collections and providing outstanding service to assigned attorneys, clients, and others in the firm. The role suits a proactive problem-solver and self-starter who can navigate ambiguity and independently drive projects to completion. Team members are committed to quality, customer service, and teamwork, and must be able to work in a fast-paced environment. This is a full-time, non-exempt position reporting to the Finance Manager. The pay range is $35.00–$40.00 per hour. Actual compensation depends on factors including experience, qualifications, and skill set.

Requirements

At least 3 years of work experience as a Legal Billing Specialist using billing software.
Strong technology skills, including proficiency with the MS Office Suite and Excel, and the ability to leverage technology to enhance processes.
Ability to maintain high ethical standards and strict confidentiality.
Desire to maintain and update skills as required by the position.
Ability to organize and prioritize numerous tasks and complete them within time constraints and budget.
Strong written and verbal communication skills.
Interpersonal skills to communicate in person and by phone with a diverse group of attorneys, staff, and vendors with courtesy and tact.

Responsibilities

Generate monthly pre-bills and verify billing rates before distributing them to Billing Attorneys.
Edit and finalize client invoices.
Prepare write-off request forms for approval when necessary.
Pull and copy expense backup to accompany invoices.
Mail, scan, or electronically bill final invoices to clients.
Process revised invoices requested by an attorney or client.
Review client contracts for billing guidelines and set up spreadsheets in Excel.
Update client budgets in the billing system.
Make time-entry changes or corrections requested by timekeepers in the billing system.
Calculate and prepare annual rate increases for assigned clients.
Respond promptly to questions and inquiries from internal and external clients.
Prepare daily deposits and post cash receipts, including scanning checks and backup documents for online filing.
Assist team members with their client billing lists.
Manage and prioritize multiple projects simultaneously.
Work cordially, cooperatively, and productively with department and firm employees.
Work under pressure and deadlines while producing quality work.
File client-matter documentation electronically and in iManage.
Collaborate with Billing Attorneys on collections and interact with clients regarding collections.
Monitor and track accounts receivable to help ensure collection goals are met.
Perform other assigned functions and work overtime as needed.
