About The Position

Lerners LLP is seeking a Legal Assistant to support its Dispute Resolution & Advocacy and Business Law team in London, Ontario. The firm offers a full range of legal services throughout Ontario with offices in London, Toronto, Strathroy, and Kitchener. This hybrid position requires a minimum of three days per week in the office. The ideal candidate will have over three years of experience in a similar role and possess strong client service skills.

Requirements

  • 3+ years’ experience as a legal assistant.
  • Familiarity with the Rules of Civil Procedure.
  • Proactive and responsive, with a strong sense of ownership and accountability for tasks and client interactions.
  • Exercises judgment in client and internal communications.
  • Ability to work both independently and collaboratively within the firm.
  • Highly organized and able to manage competing priorities in a fast-paced environment.
  • Strong client service skills, with the ability to communicate effectively, professionally, and calmly in all situations.
  • Excellent organizational and time management skills, with strong attention to detail.
  • Confident using Microsoft Office and Outlook, with the ability to learn new systems quickly.
  • Demonstrated ability to take initiative and work proactively.

Nice To Haves

  • Litigation and Employment Law experience considered an asset.

Responsibilities

  • Serving as a primary point of contact for clients, including handling new client inquiries, conducting intake conversations, and building strong client rapport.
  • Coordinating full intake process, conducting conflict searches and effectively managing opening and closing files.
  • Drafting correspondence, responding to client inquiries, and ensuring timely follow-up on all communications.
  • Supporting billing processes, including preparing accounts, issuing invoices, following up on outstanding accounts, and assisting with collections as needed.
  • Proactively manage calendar, schedule meetings, and ensure full preparation of materials in advance.
  • Assisting in identifying and triaging client concerns, escalating issues where appropriate.
  • Prepare and organize retainer and privacy documentation.
  • Conducting cold and warm outreach as needed, ensuring timely and professional responses to prospective and existing clients.
  • Maintaining organized files, including scanning and uploading to document management system, while ensuring work is completed accurately and within tight timelines.
  • Maintaining an effective bring-forward system, including tracking filing deadlines, timelines, and managing lawyers’ calendars.
  • Compiling, serving, and filing motion records and other court or tribunal documents.
  • Other duties related to the administration of the practice.
