About The Position

Larkin Hoffman is seeking a full-time (37.5 hours per week) Legal Administrative Support Specialist to perform administrative support tasks common to all practice areas. This includes scanning, compiling, and assembling electronic and physical binders; utilizing expense report software; and coordinating special projects. The role also involves providing back-up to the Office Services and Hospitality Team, including covering the reception desk, document production, editing, and manipulation, and cooperating with support staff to ensure efficient operations. The firm is committed to training and professional development and offers a prime office location at Normandale Lake Office Park with complimentary parking.

Requirements

  • 1+ years of administrative support experience.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Highly organized.
  • Superior grammar and proofreading skills.
  • Detail oriented.
  • GED.

Nice To Haves

  • Prior law firm experience.
  • Familiarity with legal terminology.
  • Familiarity with NetDocuments or document management systems.
  • Legal Administrative certification OR related college degree with 1+ years of law firm experience OR equivalent combination of education and/or related experience.

Responsibilities

  • Provide administrative support to attorneys, paralegals, practice support specialists, and legal administrative assistants.
  • Prepare/process timesheets, expense reports, client disbursements, client bills, and other billing responsibilities, as directed.
  • Maintain and organize client files in NetDocs according to firm guidelines, or in paper files as needed.
  • Assist with special projects and cooperate as a Team Member with other support staff teams (word processing, receptionist, or office services) by accepting and completing tasks in addition to their own assigned tasks, performing any duty essential to the achievement of efficient operations.
  • Champion teamwork and cooperation for oneself and one’s Team through actions, words, and behaviors.
  • Scanning, compiling, and assembling electronic and physical binders.
  • Utilizing expense report software to prepare and submit expense reports.
  • Coordinating and collaborating on special projects.
  • Covering the reception desk.
  • Document production, editing, and manipulation.
  • Cooperating as a team member with support staff in performing duties essential to the achievement of efficient operations.
