About The Position

The Minnehaha County Public Advocate's Office invites applications for a Legal Administrative Specialist to join our team! We are a small office looking for a Legal Administrative Specialist to support attorneys with legal administrative tasks such as preparing legal documents, scheduling appointments, preparing case information for client files, and assisting clients. In the role of Legal Administrative Specialist, you will have the opportunity to make a substantial impact on our community. Your duties will encompass the preparation and distribution of legal documents, management of case files, support during legal proceedings, and provision of critical assistance to leading defense attorneys in adult criminal cases, juvenile criminal cases, and matters pertaining to abuse and neglect.

Requirements

  • High school diploma or GED plus two years related work experience. Comparable combination of education and experience may be considered.
  • Must successfully complete pre-employment background process.
  • Working knowledge of modern office practices and procedures and legal terminology.
  • Knowledge of and skill in using technology and related software systems.
  • Ability to exercise great tact, patience, and judgment when managing office clients and family members.
  • Ability to plan and direct the work of others.
  • Effective verbal and written communication.
  • Ability to build and maintain positive, collaborative relationships with colleagues, other agencies, and the public.
  • Present a professional appearance and communicate with others in a respectful and approachable way.

Responsibilities

  • Manage incoming phone calls, welcome clients, and assist walk-in visitors.
  • Prepare legal documents, including letters, orders, affidavits, motions, summonses, and briefs.
  • Take and transcribe notes and dictation, ensuring accuracy.
  • Coordinate, monitor, and update scheduling and arrangements for legal proceedings.
  • Copy, request, and organize reports and records.
  • Establish and maintain effective filing and information management systems for accurate recording, storage, retrieval, and utilization of data.
  • Prepare and track employee leave time for timesheet.
  • Monitor attorney time for billing purposes.
  • Process incoming and outgoing mail.
  • Prepare purchase orders and county vouchers for processing and payment.
  • Coordinate office supply orders.
  • Assist in filing pleadings and ensure completion of procedures required by various motions.
