About The Position

Nelson Mullins, an AM Law 100 firm is currently seeking an experienced Legal Administrative Assistant to join our Chicago office in support of the Midwest Commercial Litigation Team. This role provides comprehensive administrative and clerical support in a fast‑paced legal environment and is well suited for a detail‑oriented professional who is organized, responsive, and committed to delivering high‑quality client service. A Day in the Life Duties of this position include maintaining electronic files in NetDocs; drafting, formatting, editing, and proofreading legal documents; and handling electronic filings and downloads in state and federal court systems. The Administrative Assistant analyzes pleadings and court orders, processes docketing requests using the Firm’s docketing software, and manages incoming mail and correspondence. Additional duties include scheduling meetings and conference calls, maintaining attorney calendars, entering and reviewing time entries, assisting with billing and accounts receivable, preparing expense reports, performing conflict checks, opening and closing client matters, preparing engagement letters, and coordinating attorney travel. Requirements

  • 3–5 years of administrative assistant experience supporting attorneys in a law firm environment
  • At least 3 years of civil litigation experience in state and federal court
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint
  • Strong analytical and multitasking skills
  • Solid work ethic
  • Familiarity with legal billing practices
  • Comfort using technology and an aptitude for learning new systems and software
  • Highly organized, detail‑oriented, and resourceful
  • Excellent written and verbal communication skills and a professional demeanor
