About The Position

Whiteford’s Richmond, VA office is seeking a detail-oriented, proactive, and highly organized Legal Administrative Assistant to join its Corporate & Securities Section in the Richmond office. This position will provide dedicated support to attorneys within the Healthcare Subgroup and assist with a broad range of regulatory and administrative matters in a collaborative, fast-paced law firm environment. This is an excellent opportunity for an experienced legal administrative professional who thrives in a sophisticated practice setting, exercises sound judgment, and is comfortable managing multiple priorities with accuracy, professionalism, and discretion. The ideal candidate will have three (3) to five (5) years of law firm experience, preferably supporting corporate, healthcare, or regulatory practices, and the ability to effectively support several attorneys simultaneously. The successful candidate will be resourceful, organized, technically proficient, and committed to delivering exceptional service to attorneys, clients, and colleagues.

Requirements

  • 3–5 years of legal administrative assistant, legal secretary, or legal practice assistant experience in a law firm environment.
  • Strong proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint.
  • Excellent proofreading, formatting, organizational, and time-management skills.
  • Ability to prioritize competing deadlines and work efficiently in a fast-paced environment supporting multiple attorneys.
  • Strong communication skills and a professional, client-service oriented demeanor.
  • High level of attention to detail, discretion, and reliability.
  • Ability to work both independently and collaboratively as part of a team

Nice To Haves

  • Experience supporting Litigation, corporate or healthcare, preferred.
  • Experience with document management systems, billing systems, and legal administrative processes preferred.

Responsibilities

  • Preparing, editing, proofreading, and finalizing correspondence, documents, presentations, engagement letters, and other legal materials.
  • Assisting attorneys with healthcare regulatory related matters, including organization and management of documents.
  • Maintaining attorney calendars, scheduling meetings, coordinating conference calls, and managing deadlines.
  • Coordinating travel arrangements, expense reports, time entry, and monthly billing activities.
  • Managing and organizing electronic and paper files, including document management systems and client records.
  • Assisting with preparation of binders and other client materials.
  • Communicating professionally with clients, vendors, opposing counsel, and internal team members.
  • Supporting attorneys with administrative and practice management tasks to ensure efficiency and responsiveness.
  • Providing proactive support by anticipating attorney and client needs and helping manage competing priorities effectively.
