About The Position

Offit Kurman, an Am Law 200 firm, is seeking a highly organized and client-focused Legal Administrative Assistant to support its Trusts & Estates practice. This role is ideal for an experienced legal administrative professional who thrives in a fast-paced environment, enjoys building strong client relationships, and excels at managing competing priorities. While experience in Trusts & Estates is a plus, it is not required. We are primarily seeking candidates with exceptional calendar management, communication, and organizational skills, along with the ability to keep multiple matters moving efficiently from start to finish.

Requirements

  • 3+ years of legal administrative experience within a law firm or professional services environment.
  • Strong calendar management and scheduling experience supporting multiple priorities simultaneously.
  • Excellent written and verbal communication skills with a professional, client-service-oriented approach.
  • Proven ability to build positive relationships with clients, attorneys, courts, and outside agencies.
  • Exceptional organizational skills with the ability to prioritize competing deadlines in a fast-paced environment.
  • Strong attention to detail with experience preparing, proofreading, and formatting legal documents.
  • Ability to anticipate attorney and client needs while working independently and proactively.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), document management systems, and attorney time entry software.

Responsibilities

  • Provide administrative support to attorneys by managing complex calendars, scheduling client meetings, court appearances, conference calls, and internal meetings.
  • Serve as the primary point of contact for clients, ensuring professional, timely, and responsive communication throughout the lifecycle of each matter.
  • Coordinate communications with clients, probate courts, government agencies, and third parties, including the IRS.
  • Prepare, proofread, format, and finalize legal documents, correspondence, and client materials under attorney supervision.
  • Assemble and prepare estate planning document packages for client execution.
  • Coordinate document signings, including scheduling, preparing execution copies, and ensuring all required documentation is completed accurately.
  • Prepare, organize, and submit filings to probate courts, government agencies, and the IRS while ensuring compliance with applicable requirements.
  • Track deadlines, monitor case progress, and proactively follow up to ensure all matters move forward efficiently.
  • Open new client matters, maintain organized electronic and physical files, and manage document retention throughout each matter.
  • Assist with legal research, court filings, and administrative case management as needed.
  • Process expense reports, reimbursements, attorney time entry, and other administrative tasks.
  • Provide general administrative support and collaborate with attorneys and team members to ensure exceptional client service.
