About The Position

The Legal Administrative Assistant (LAA) provides comprehensive administrative support to attorneys and other timekeepers in their assigned practice group, performing a broad range of administrative duties while applying a strong understanding of their practice areas and clients to support an exceptional client experience.

  • Proactive self-starter with a strong willingness to learn and develop independent critical thinking skills.
  • Capable of taking initiative, establishing priorities, and driving projects to successful completion.
  • Skilled at managing multiple projects in a deadline-driven environment, with strong organizational abilities.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with attorneys and other legal support staff.
  • Exceptional proofreading abilities, with a strong focus on accuracy and attention to detail.
  • Able to work effectively both independently and as part of a team to support consistent, efficient workflow processes.
  • Proven ability to perform successfully in hybrid, remote, and in-office work environments.
  • Minimum of two (2) years of experience working in an administrative support role in a legal or professional services environment.
  • Strong proficiency with Microsoft Office, particularly Word, Excel, and PowerPoint.

Responsibilities

  • Perform a wide range of routine administrative tasks in support of attorneys and other timekeepers.
  • Support new client intake and business development by opening and closing matters and submitting conflicts of interest check requests.
  • Process expense reimbursement requests and handle invoice processing in an accurate and timely manner.
  • Prepare, revise, and format reports and presentations using Microsoft Office Suite, ensuring adherence to firm branding and style guidelines.
  • Coordinate with administrative departments to manage and streamline workflow support for attorneys.
  • Draft and prepare routine correspondence, review and route incoming mail, conduct general research, and maintain files and records.
  • Provide coverage for incoming telephone calls and ensure proper routing, and follow-up of voicemail messages.
  • Manage complex calendars, including prioritizing meetings, resolving scheduling conflicts, and proactively organizing changes to events and appointments.
  • Arrange domestic and international travel and prepare, submit, and track related expense reports.
  • Collaborate with internal and external resources, as appropriate, to complete assignments and special projects.
  • Provide overflow and backup support to the administrative legal support team as needed.
  • Contribute to a work environment that emphasizes superior client service, collaboration, commitment, teamwork, pride, and mutual trust.
  • Maintain confidentiality of all firm and client information.
