About The Position

McMillan has an exciting opportunity as a full-time, bilingual, Legal Administrative Assistant in our Montréal Litigation group. office. As a member of the team, you will play a key role in managing legal and administrative aspects of the practice for successful legal professionals. Please note that this role offers a hybrid workweek. Each week will combine both working at home for a few days and working in the office for the balance. Your hybrid schedule will start once you join McMillan! You will be a key addition to the dynamic Litigation team, maximizing your skills in Microsoft Office Suite and attention to detail. You will be involved in a wide variety of tasks, including:

Requirements

  • A minimum of five years of professional experience as a Litigation Legal Administrative Assistant
  • Bilingualism (French and English) required to communicate with external clients when needed
  • Familiar with proceedings before the Court of Quebec, the Superior Court and the Court of Appeal
  • Experience with Microsoft Office Suite (Word, Excel and PPT), Adobe Acrobat Pro
  • Strong administrative, organizational and interpersonal skills (both oral and written)
  • Proactive, detail-oriented and able to effectively meet deadlines
  • Work well independently and within a team setting
  • Provide an exceptional level of client service
  • Proactive and flexible attitude
  • Keen attention to detail, including thorough proofreading skills in both languages
  • Strong knowledge of the Quebec Code of Civil Procedure

Nice To Haves

  • Prior experience with iManage, Intapp, and 3E or similar document management, file opening, and accounting software is considered an asset

Responsibilities

  • Preparing/drafting and revising correspondence and various court documents
  • Notify, serve and file court documents
  • Manage legal document management systems and court filing platforms
  • Scheduling mediations, pre-trials and trial dates, amongst other scheduling tasks
  • Open, organize, and maintain electronic and physical litigation files
  • Monitor procedural deadlines and manage reminder systems
  • Assist with file closing and archiving in accordance with firm policies
  • Act as the go-to person for your team, providing guidance and organizational support.
  • Leverage technology to service clients in an efficient and effective manner.
