About The Position

The Bureau of Human Resources and Labor Relations is seeking a detailed, customer service-oriented individual with exceptional written and verbal communication skills to function as their Leaves Coordinator. This role will oversee all aspects of leaves within the agency, including Family Medical Leave Act (FMLA), Paid Parental Leave (PPL), and Paid Family Leave (PFL). The coordinator will be responsible for calculating leave eligibility, determining leave types, commencement dates, and balances. They will also prepare letters for director's review, provide guidance to employees on all forms of leaves of absence, coordinate with a third-party insurance carrier for PFL requests, update computerized leave reports, and assist with follow-up on expired leaves. Additionally, the role involves assisting with other tasks related to Leave of Absence data preparation and analysis, as well as supporting work assignments within Leaves and Benefits, including Workers Compensation and Verification.

Requirements

  • A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
  • An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above.
  • Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above.
  • Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

Responsibilities

  • Oversee all aspects of leaves within the agency including Family Medical Leave Act (FMLA), Paid Parental Leave (PPL), Paid Family Leave (PFL) and etc.
  • Calculate all leaves to determine eligibility, leave type, commencement of leave and leave balances
  • Prepare letters for Director's review/signature for all approved leave
  • Provide employees guidance on all forms of leave of absences including and answering questions via phone, e-mail and in person.
  • Coordinate and work with a third party insurance carrier for City of NY Paid Family Leave (PFL) request with a timely notification schedule.
  • Update computerized leave reports.
  • Assist with follow-up on all expired leave of absence within the Designated Human Resources Liaisons (DHRL) and leave liaisons within the Agency.
  • Assist with other tasks related to Leave of Absence data preparation and data analysis based on Program's needs
  • Assist with work assignments within the Leaves and Benefits which include but is not limited to Workers Compensation, Verification, Benefits and etc.
