About The Position

The Leave Specialist (LS) is responsible for the divisional communication of, adherence to, oversight of, and administration of the Family Medical Leave Act protections and Delaware Paid Leave, as well as serves as the in-house resource for compliance to all health-related laws, including Short-Term Disability, Workers Compensation and workplace accommodations, in a timely manner. The LS works in conjunction with the Benefits Specialist in correlating benefit payments for all Leaves. This is a fully in office position.

Requirements

  • Bachelor’s Degree in Human Resources, Business Administration, or equivalent minimum experience of six years in personnel, or finance department with leave and benefit payment processing and employee relations.
  • Minimum of three years leave administration experience preferred.
  • Prior UKG Pro experience is strongly preferred, although experience administering benefits in another fully integrated HRIS environment can be substituted.
  • Must be patient and willing to support an employee when he/she is dealing with health problems and be willing to communicate plan information in a kind and gracious way.
  • Enjoys working where being exact is a requirement and being timely is paramount.
  • Able to handle personal information with sensitivity and with necessary confidentiality.
  • Outstanding organizational and follow-up skills.
  • Excellent communication skills for dealing with people, some of which may be in crisis.
  • Self-starter, detail oriented, logical, process-minded worker required.
  • Must be willing to work in the office not virtually.
  • Good working knowledge of word processing systems.
  • As a Mandated Reporter, must provide proof of having completed training on recognizing and reporting child abuse meeting the training standards of PA Act 153 of 2014 within 30 days of employment with recurrent training required every five years thereafter.
  • Meet the Child Protection Clearances required by PA Act 153, including the PA Child Abuse History Clearance, PA State Police Criminal Record Check, and FBI Criminal Record Check.
  • Must have an understanding of and support for the Mission of The Salvation Army.

Responsibilities

  • Is the in-house expert on the administration of Family Medical Leave Act and the Americans with Disabilities Act.
  • Explains leave administration to employees who are anticipating a leave, (i.e., a pregnant employee, or one who is scheduling surgery, etc.)
  • Ensures that employees are aware of their responsibilities and of any documentation, and notice required to qualify for and to take leave.
  • Reviews all leaves with the General Secretary for approval.
  • Referencing the UKG Pro Earning Statement data, completes all disability insurance claims with Chesterfield Insurance Company and ensures that all applicable state and federal laws are followed.
  • Ensures that all Accommodation Requests are reviewed with the General Secretary in a timely manner.
  • Must have experience in administering Delaware Paid Leave, and work closely with Payroll and Security and Compliance Attorney.
  • Ensures that employee contributions are made while the employee is on approved leave of absence.
  • Ensures accurate record keeping and timely communications to Payroll information about employee contributions received from employees out on leave so that Payroll can modify the arrears accordingly.
  • Keep location director, department heads, and/or supervisors apprised of leave status and return to work dates.
  • Provides blank Incident Forms to requesters and keeps copies of completed Incident Reports for employee accidents and injuries. (The Incident itself is to be called into Chesterfield by the employee’s supervisor.)
  • Ensures that all required mailings are sent to adequately communicate plan information as required by THQ and for legal compliance, such as required postings of workers compensation statistics.
  • Referencing the UKG Pro Earning Statement, processes all workers’ compensation claims with Chesterfield Insurance Company and ensures that all applicable state and federal laws are followed.
  • Participates in various training and development programs related to HR Administration for newly arriving officers, and the periodic offering “HR Supervisory Training” to Pendel’s managers and directors.
  • Serve as back-up to the Benefits Specialist, as well as provide support to the other HR staff, as needed.
  • Assists with work place investigations as requested.
  • Perform related duties, as assigned.
