About The Position

The Leave of Absence Administrator plays a pivotal role in managing and administering various protected leaves of absence for our diverse workforce, which includes full-time, part-time, and seasonal employees. This position requires a deep understanding of relevant leave regulations, policy development expertise, and the ability to handle complex and high-volume leave cases. The Leave of Absence Administrator ensures compliance with applicable laws, maintains accurate leave records, and provides crucial support to employees navigating the leave process while providing excellent customer service. The pay range for this position at commencement of employment is expected to be between $90,000k- $105,000k per year; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience.

Requirements

  • Bachelor’s degree in human resources, Business Administration, or related field.
  • 3+ years’ experience in leave of absence administration, including handling complex and high-volume leave cases.
  • Strong knowledge of federal and state leave regulations, including FMLA, ADA, and other relevant laws (California leave experience required).
  • Proficiency in data analysis and reporting.
  • Experience in policy development, interpretation, and implementation.
  • Familiarity with relevant employment laws, regulations, and compliance requirements.
  • Strong analytical skills, with the ability to interpret and manipulate data to manage informed decisions.
  • Strong attention to detail and the ability to manage multiple projects.

Nice To Haves

  • Relevant professional certifications (CCP, PHR, SHRM-CP) a plus.
  • Experience administering leaves of absences within Workday a plus.
  • Experience working in a unionized environment a plus.

Responsibilities

  • Administer a wide range of protected leaves, including but not limited to Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), state-specific leaves, military leaves, parental leaves, and personal leaves.
  • Serve as the primary point of contact for employees, managers, and HR business partners regarding leave-related inquiries, guidance, and assistance.
  • Assess and determine employee eligibility for various leaves based on federal and state regulations, company policies, and individual circumstances.
  • Collaborate with HR leadership and legal teams to develop, update, and communicate leave-related policies and procedures, ensuring alignment with legal requirements and company objectives.
  • Regularly review and revise policy documentation to reflect changing regulations and organizational needs.
  • Provide training to HR staff, managers, and employees on leave policies, procedures, and best practices.
  • Manage a high-volume caseload of leave of absence requests, ensuring timely and accurate processing of leave applications, extensions, and changes.
  • Coordinate with employees, healthcare providers, and third-party administrators to obtain necessary documentation and medical certifications.
  • Analyze complex leave cases, such as intermittent leaves, concurrent leaves, and accommodation requests, to determine appropriate course of action and ensure consistency in decision-making.
  • Maintain detailed and organized records of leave cases, ensuring data accuracy and confidentiality.
  • Generate reports and metrics related to leave utilization, compliance, and trends to inform HR leadership and support strategic decision-making.
  • Collaborate with legal counsel to address complex leave cases and potential legal issues.
  • Other duties as assigned.
