About The Position

The Leave of Absence Administrator maintains compliance and administers workers compensation, FMLA and disability claims for assigned divisions, working with other team members as necessary to meet all service level agreements (SLAs). Creates and maintains all forms and documents that facilitate the claims process. Provides input into third party administrator performance and selection as well as overall leave management process and policies at Gordon Food Service. Utilizes RIMS software applications for disability and compliance record keeping.

Requirements

  • Two or more years of workers compensation, FMLA and disability claims administration experience.
  • A thorough understanding of workers' compensation, disability management, and FMLA.

Responsibilities

  • Administers integrated claims management involving workplace injury, Short Term Disability (STD), Family Medical Leave Act (FMLA), Americans with Disability Act (ADA), Military and Personal Leaves in accordance with the respective organization’s Plan Documents, policies and applicable federal and state laws that govern.
  • Serves as a liaison for the company between third party administrators, physicians, nurse case managers, legal counsel, employees, management, and Human Resources to protect the rights of employees and reduce liability exposure of the organization.
  • Monitors vendor performance and escalates performance concerns.
  • Responsible for processing weekly payroll entries related to leaves for assigned divisions by entering leaves in HRIS system and entering pay elections to ensure employee pay is accurate. Audits Workday leave status and payments for accuracy. Answers employee questions on pay related to the leave.
  • Administers workplace injury programs for employee injuries across multiple state jurisdictions. Coordinates with the third-party administrator to manage each claim, advise on claim determinations, and create action plans for the timely resolution of claims through facilitating treatment plans, assigning nurse case management, and returning the employee to work.
  • Reviews, summarizes, and escalates litigated workplace injury claims to seek approval from management for settlement authority and communicates final authority amount to TPA and legal counsel.
  • Administers the transitional return to work process for employees returning from extended FMLA, work injury or other leaves. Evaluates work restrictions for job assignments with the divisions, drafts bona fide offer letters, and tracks light duty work days to monitor the 180 limit.
  • Administers the American with Disabilities Act (ADA) evaluation and interactive accommodation process for assigned divisions in accordance with the company’s reasonable accommodation policies and programs. Facilitates leave and accommodation requests under the ADA by evaluating requests for eligibility, drafting communications, assesses responses, and making recommendations for accommodations. Maintains complete and accurate records of the interactive process. Manually track accommodation requests and decisions.
  • Serves as consultant for HR, providing expertise and formal written documents on ADA , disability and FMLA issues for assigned divisions.
  • Analyzes and audits all claims in the RIMs database on a monthly basis for assigned divisions to ensure lost and restricted work days are recorded correctly for OSHA reporting.
  • Assists in creating and maintaining forms and documents used in the claims administration process.
  • Other duties and responsibilities as assigned.
