About The Position

The Leave Administrator position will coordinate with Workday and Leave Administration Partners to provide in-house administration of various leaves of absence, including FMLA, State Leave, STD, LTD, Military leaves, and unpaid personal leaves. This role will also coordinate leave with disability insurance benefits and paid time off programs. Additionally, the administrator will communicate with management and teammates regarding the status of teammate leaves of absence, focusing on facilitating the return to work process. Bilingual skills are considered a plus.

Requirements

  • Bachelor’s Degree (B.A.) in Human Resources, Business, or related field.
  • At least 3 years’ experience working in a same or similar role administering FMLA and non-FMLA LOA’s; Or an equivalent combination of education and experience.
  • Ability to communicate complicated legal requirements in plain English so they are easily understood by teammates and managers.
  • Strong written and verbal skills.
  • Customer service focused.
  • Experience working with Excel, Word, and database systems.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and procedure manuals.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Must be eligible to work in the U.S. with no restrictions.

Responsibilities

  • Administers FMLA and non-FMLA leave of absence programs.
  • Coordinates the leave program using several databases, including Workday, TAM, and ADP.
  • Works with the Leave Partner to coordinate Leave of Absence per company policy.
  • Facilitates leave and appropriate leave status via Workday.
  • Communicates with teammates regarding completed certification and recertification forms.
  • Notifies teammates of the status of their group benefit coverage, rights and obligations, and requirements for returning to work.
  • Coordinates communication between teammates and managers during leave.
  • Answers questions from teammates and managers regarding FMLA and non-FMLA leaves of absence.
  • Coordinates the return-to-work process for FMLA and non-FMLA leaves of absence.
  • Receives requests for other types of disability-related leave, including reasonable accommodation under the ADA and leave arising from a work-related injury or illness.
  • Coordinates with other internal departments and external insurance companies to manage the payment of paid time off benefits and disability leave benefits.
  • Communicates with teammates and managers regarding leave designation and status for return to work.
  • Maintains teammate leave information in databases and performs other tasks to ensure accuracy of teammate leaves of absence.
  • Provides reports from various databases to management on leave status.
  • Ensures confidentiality of teammate medical and leave records is maintained and ensures continued compliance with HIPAA Privacy laws.
  • Maintains up-to-date working knowledge of relevant laws including, but not limited to, FMLA, ADA, workers' compensation, and HIPAA Privacy.
  • Identifies and attends professional development programs as appropriate.
  • Performs other duties as assigned.
