About The Position

This position is primarily responsible for independently managing leasing operations, tenant relations, and property engagement initiatives under general oversight of the Property Manager.

Requirements

  • Bachelor's degree (B.A.) from a four-year college or university; or one to two years of experience and/or training in real estate office administration; or an equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • To perform this job successfully, an individual should have knowledge of: Accounting Software (Yardi); Internet Software; Payroll Systems (PAYCOM); Spreadsheet Software (Excel); Order Processing Systems; Word Processing Software (Word); Electronic Mail Software (Outlook); cloud-managed file storage systems (SharePoint).

Responsibilities

  • Warmly greets visitors, prospective renters, and current residents.
  • Consults with prospective residents to identify requirements and budgets, then matches these needs with available properties.
  • Independently evaluate and qualify prospective residents in accordance with company policies and lease agreements, making final determinations on routine applications.
  • Conducts background and credit checks and verifies other references as directed by Property Manager.
  • Review and approve routine lease documents and applications within delegated authority; escalate exceptions or unusual cases to the Property Manager.
  • Prepares leases for Property Manager’s review and approval; obtains signatures from management and residents.
  • Coordinates move-in dates, materials, and processes.
  • Creates, develops, and maintains a wait list as needed.
  • Tours property daily to ensure it is neat, tidy, attractive, and in good repair.
  • Ensures available and model apartments are fresh and tidy.
  • Manages shared facilities such as fitness and recreation areas, laundry facilities, and meeting or gathering spaces.
  • Develop and implement leasing strategies and marketing campaigns to optimize occupancy and tenant retention, adjusting promotions and discounts as appropriate based on occupancy trends and market analysis, while ensuring alignment with company policies.
  • Provide full administrative support, including but not limited to answering phone calls and routing callers to the correct individual when necessary, typing reports, filing, and distributing correspondence.
  • Order and maintain office supplies and arrange for equipment maintenance.
  • Assists with recordkeeping, filing, bookkeeping, and paperwork as required.
  • Prepare routine correspondence with residents, owners, and clients.
  • Manage correspondence across multiple properties if applicable.
  • Assist with tenant inquiries/concerns, communications, and manage public relations.
  • Independently resolve tenant issues, applying judgment to balance tenant satisfaction with lease compliance and escalate only complex or high-impact issues to the Property Manager.
  • Promote and foster positive relationships with residents and owners.
  • Plan and implement tenant relations programs and events.
  • Schedule and coordinate meetings or special events as required.
  • Handle property inquiries and violations as well as basic rental agreements.
  • Address unit owners/residents' requests, comments, and concerns.
  • Assist with and complete miscellaneous tasks and special projects.
  • Prepare reports and correspondence for management review; make recommendations based on tenant and occupancy trends and take initiative to implement operational improvements under Property Manager guidance.
  • Provides potential residents with brochures, information, and tours of facilities and available units.
  • Performs other related duties as assigned.
