The Lease Administrator will support the Real Estate and Finance teams by managing lease documentation, critical dates, and occupancy cost tracking across our growing store portfolio. This role is responsible for maintaining accurate lease records, assisting with lease analysis, and ensuring compliance with lease terms. This position will play a key role in supporting store operations, and landlord communication.

Requirements

  • Ability to review and interpret commercial lease documents, terms, and compliance requirements
  • Ability to work effectively across departments in a fast-paced environment
  • Strong attention to detail and organizational skills
  • Strong written and verbal communication skills
  • Bachelor's degree or equivalent experience in related fields
  • 1–3 years of lease administration, real estate, or related experience preferred
  • Ability to thrive in a fast-paced, high-volume environment while maintaining strong attention to detail
  • Proficiency in Excel and ability to work with lease data and financial information
  • Ability to operate a computer, keyboard, mouse, and other standard office equipment
  • Able to clearly view and read information on a computer screen
  • Occasionally lift or move items up to 15 pounds

Nice To Haves

  • Experience with lease administration software (NetSuite) is a plus

Responsibilities

  • Maintain and update lease abstracts and critical lease data in the lease management system
  • Track and manage critical lease dates including rent commencements, option notices, expirations, and rent escalations
  • Maintain lease files, amendments, notices, and related documentation
  • Support real estate committee reporting and draft executive summaries
  • Assume additional duties as required in response to organizational growth and changing priorities
  • Review rent invoices and reconcile charges against lease terms (base rent, CAM, taxes, insurance, and other recoveries)
  • Assist with reviewing and tracking CAM reconciliations and identifying discrepancies
  • Monitor percentage rent reporting and breakpoint calculations where applicable.
  • Support the Real Estate team with lease interpretation and summary analysis.
  • Review estoppel certificates for accuracy and ensure lease terms, amendments, and key dates are accurately reflected prior to execution.
  • Coordinate with the company’s insurance broker to obtain and maintain Certificates of Insurance (COIs) for all store locations in accordance with lease requirements.
  • Prepare reports on lease obligations, upcoming critical dates, and occupancy costs.
  • Assist with compiling information for internal financial reporting and audits.
  • Ensure gross sales reporting is accurate and provided promptly pursuant to the lease.
  • Coordinate with Finance, Accounting, and Store Operations on lease-related matters.
  • Assist with landlord correspondence related to billing inquiries and lease compliance.
  • Support the construction team during relocations, renovations, and new store openings while ensuring all related milestone dates are accurately maintained in the lease management system
