Requirements

  • Minimum of five (5) years of current experience in a hospital admitting and registration department preferred or a combination of education and experience
  • Knowledge of medical terminology.
  • Proficient in-patient scheduling, professional telephone etiquette and customer satisfaction in support of the mission of GWUH.
  • Associate degree or Certified Healthcare Access Associate (CHAA) certification
  • Strong communication skills, both verbal and written
  • Demonstrates sound judgment and critical thinking skills
  • Strong organizational and problem-solving skills and PC and spreadsheet proficiency
  • Strong Service Excellence skills
  • Works well in a stressful environment
  • Ability to complete multiple tasks simultaneously and work under pressure
  • Ability to independently organize and manage time effectively, setting appropriate priorities

Responsibilities

  • Under general supervision, schedules all division surgeries.
  • Surgical scheduler duties involve scheduling for hospital outpatient/inpatient along with Ambulatory Surgery Center along with changing and cancelling appointments.
  • Acts as a preceptor for new team members. Facilitator between the hospitals and offices that are scheduling cases. Communications and provides updates to the scheduling offices.
  • Proficient in-patient scheduling, professional telephone etiquette and customer satisfaction in support of the mission of GWUH.
  • Schedules and coordinates all elective surgical procedures allowing adequate time for each procedure according to the Physicians historical time.
  • Obtain and enters the necessary booking information from the surgeon’s office accurately. Attempts to schedule similar type cases in the same room to increase efficiency.
  • Communicates special equipment, instrument, and supply requests to appropriate associates.
  • Refers conflicts and procedural questions to OR Clinical Coordinator or designee.
  • Obtains missing patient information, equipment needs, CPT codes and special request from physician’s office for a complete and accurate surgical posting.
  • Communicate any changes affecting the next day surgical schedule to the Scheduling Supervisor, OR Clinical Coordinator or designee and other members of the health team
