Vast is looking for a Lead Recruiting Coordinator, reporting to the Senior Manager, Talent Operations, to set the standard for how we coordinate. You also serve as the point person for executive scheduling working side by side senior leadership and executive assistants. The Lead Recruiting Coordinator will hold themselves at a high bar ensuring attention to detail and confidentiality while protecting the candidate experience, and build scalable, sustainable processes that position us to execute efficiently as the organization grows. This will be a full-time, exempt position located onsite at our Long Beach location.

Requirements

  • 5+ years in recruiting coordination or a comparable role, including time supporting senior or executive-level scheduling.
  • Hands-on experience with an applicant tracking system, with Greenhouse preferred.
  • Strong project management, written, and verbal communication skills.
  • Experience standing up or significantly overhauling recruiting processes or systems from the ground up, not only maintaining existing ones.

Responsibilities

  • Serve as the point person for executive and senior leadership scheduling, manage complex panels, and onsite interviews with accuracy.
  • Control access to sensitive candidate information during communications and within our tools.
  • Coordinate interviews in a way that protects confidentiality at every touchpoint.
  • Partner with recruiters, hiring leaders, and executive assistants to run scheduling and onsite logistics.
  • Clear roadblocks, hold recruiters accountable, and strengthen the relationships that improve and scale our process and interviewing experience.
  • Build and maintain reporting on coordination KPIs, including scheduling speed, interview volume and SLA adherence.
  • Build and own coordination playbooks and process documentation, and keep them current as we scale.
  • Find and fix friction in how we coordinate, and propose solutions.
  • Set the standard for coordination on our team, and guide other coordinators toward it.
