About The Position

UNM Medical Group (UNMMG) is currently seeking an Lead Patient Service Coordinator for the UNM Cancer Center - Scheduling. This position will be located at the University of New Mexico Comprehensive Cancer Center (UNMCCC). The Lead Patient Services Coordinator will be responsible for organizing and managing the day-to-day workflow and work assignments of the scheduling department, while maintaining their own work duties. This role will manage and monitor the scheduling needs for Cancer Center patients, process observation orders, arrive patients, and queue clinical staff for triage. The Lead PSC will serve as a Master Scheduler, be the point person for providers to coordinate clinic changes, ensure processes and procedures are followed, conduct audits, and train new staff. They will manage provider order reports for quality and research, and report PSN events to the Patient Services Unit Operations Manager and Director. This position is critical to meeting the needs of a demanding, high-producing group of physicians while meeting performance expectations. Under limited supervision, performs a wide variety of administrative support functions at assigned UNMMG Ambulatory Clinic, including but not limited to direct service to patients either by phone or in person by scheduling appointments, receptionist duties, verifying demographic and insurance information, and obtaining referral and prior authorizations with insurance carriers. Assists with concerns and complaints and serves as a liaison as needed with physicians, other providers, and insurance companies. Operating under the Job description of Ambulatory Patient Services Coordinator and the direction of a Supervisor/Unit Operations Manager, the Lead Patient Services Coordinator will support and coordinate the day-to-day procedural and administrative activities of a medical clinic operation. They will manage the daily work product for accuracy, timely completion, and assist with added duties as directed. They are to ensure their assigned work location is adequately prepared to receive patients, complete provider orders, and organize the daily work flow.

Requirements

  • High school diploma or GED.
  • At least 2 years of directly related experience acquired working in a medical environment.

Responsibilities

  • Organizing and managing the day-to-day workflow and work assignments of the scheduling department.
  • Maintaining their own work duties as a PSC scheduler.
  • Managing and monitoring the scheduling needs for Cancer Center patients.
  • Processing observation orders, arriving patients, and queuing clinical staff for triage.
  • Serving as a Master Scheduler and the point person for providers to coordinate clinic changes.
  • Ensuring processes and procedures are followed.

  • Performing receptionist duties including answering phones, patient check-in/out, and scheduling appointments.
  • Coordinating and facilitating accurate patient appointment scheduling through electronic and/or manual systems.
  • Scheduling follow-up appointments as ordered by providers.
  • Updating and ensuring accurate patient schedules and appointments in UNMMG computer systems.
  • Obtaining copies of insurance cards and verifying accuracy of patient demographics and insurance information.
  • Updating and ensuring accurate information into UNMMG computer systems.
  • Collecting co-pays, upfront payments, and self-pay down payments.
  • Generating patient receipts.
  • Referring patients to financial counseling for funding options.
  • Responsible for daily cash reconciliation of cash collections and receipts.
  • Following UNMMG established cash management policies and procedures.
  • Generating charge documents and other billing paperwork at the time of patient's clinic visit.
  • Ensuring proper billing information is obtained and documented, including completion of paperwork by provider, written documentation on clinic log, DX and CPT code selection by provider on charge document, and prompt submission to UNMMG centralized charge entry.
  • Coordinating and processing all referrals and prior authorizations.
  • Interfacing with insurance companies to verify coverage and obtain prior authorizations.
  • Coordinating multiple authorizations and coverage.
  • Compiling medical documentation necessary to ensure prior authorization is obtained.
  • Updating computer systems to ensure final prior authorization is documented in UNMMG computer systems.
  • Maintaining ongoing communications and dialog with the centralized UNMMG Practice Coordinator to address staffing issues, ongoing training and support, and problems or issues related to clinic front-end processes and operations.
  • Maintaining record keeping and filing systems.
  • Gathering, entering, and updating data as required.
  • Serving as backup support for other administrative personnel as required.
  • Cross-training with other personnel for all administrative, customer service, and clerical functions.
  • Performing miscellaneous job-related duties as assigned.
