SUMMARY: Under direct supervision of the practice manager, coordinates all day-to-day front office operations that support the delivery of comprehensive health care services and exceptional patient care. RESPONSIBILITIES: Coordinates all aspects of patient registration, scheduling, insurance verification, and front desk staff coverage. Promotes continuous quality improvement in patient services and practice workflow. Responsible for front desk work allocation, training and problem resolution. Responsible for answering phones, scheduling appointments, checking patients in and out from their appointment and coordinating specialist appointments for patients. Collects patient balances, copays, and credit cards at time of service. Reviews lists of patients who need appointments and calls to schedule when due. Verifies demographics and insurance carrier information for every patient Schedules, coordinates, and tracks STAT patient referrals and pre-authorizations. Works to achieve NCQA, ACO, Meaningful Use quality measures and other clinical quality improvement initiatives. Assists patients with Kiosk sign in Monitors and orders administrative supplies to ensure proper inventory. Complies with OSHA and DOH standards Adheres to Brown Health Medical Group Primary Care guidelines for protecting patients’ demographic, clinical and financial information. Provides superior customer service and outstanding patient care. Attends meetings/workshops as they relate to current position and office workflows. Performs other miscellaneous job-related duties as assigned MINIMUM QUALIFICATIONS: High school diploma or equivalent. Demonstrated ability to establish positive rapport with peers. Graduate of a Medical Secretary Program or equivalent experience. Ability to read, speak and understand (both orally and in writing) English. Ability to establish and maintain effective working relationships with customers (patients, physicians, coworkers, supervisor, etc.). Knowledge of medical office procedures and terminology. A technical understanding of reimbursement policies and procedures of various third-party payor and medical assistance programs to ensure billing procedures are in compliance. Skill in greeting patients and answering telephones with a strong customer service focus. Skill in operating a variety of office equipment such as copier, facsimile, scanner and computer. Ability to prepare letters to patients and other correspondence. Ability to speak clearly and concisely. Knowledge of grammar, spelling and punctuation to document patient information and type correspondence. Skill in patient scheduling, billing and EMR software. EXPERIENCE: Three to five years’ experience as a medical secretary. Experience with EMR software and medical scheduling software preferred.
