Founded in 1889, Marlborough School is an independent girls' college-preparatory school for grades 7 through 12 located in Los Angeles, California. The Senior Events Planner is responsible for the planning, management, and execution of a diverse range of school events that support the mission and community engagement goals of Marlborough. This role requires a highly organized, creative, and experienced professional capable of effectively collaborating with school personnel and managing complex logistics, vendor relationships, and budgets, ensuring all events reflect the school's commitment to excellence and brand standards.

Requirements

Bachelor of Arts or Science Degree required, or equivalent work experience.
Minimum 3-5 years of progressive experience in event planning or related area, demonstrating increased responsibilities and scope of duties.
Effective communication (both orally and written), resourceful problem solver, and an ability to handle confidential and sensitive information with discretion and professionalism.
Proficiency in Google Suite, Microsoft Office, Adobe, and other software platforms preferred.
Must be able to work on-site 5 days/week

Responsibilities

Lead the planning and execution of all major school events, including academic and ceremonial, admissions, advancement/fundraising and community events.
Serve as the primary liaison with various school departments to determine event objectives and requirements.
Manage all event logistics, including venue selection (on and off campus), catering, audiovisual, security, transportation, and setup/teardown.
Manage eSpace reservations and databases for school events.
Develop event timelines, budgets, and detailed logistical plans for each event.
Conduct post-event analysis by gathering feedback, reviewing financial outcomes, and assessing overall success against established goals.
Create comprehensive event reports and maintain detailed records and documentation for future planning.
Negotiate and manage contracts with all vendors, including caterers, florists and rental companies.
Track all event expenses and reconcile budgets post-event, providing detailed financial reports to the relevant departments.
Maintain a list of preferred vendor relationships and continually seek new high-quality partners.
Lead and direct cross-functional event committees and volunteer groups, clearly delegating tasks and providing necessary training and supervision.
Collaborate with the Communications department on event promotion, branding, and required materials.
Assist with departmental administrative tasks and special projects as needed.
