About The Position

Weymouth Public Schools is seeking a Lead Administrative Assistant to the Principal. This role involves supporting the Principal and Associate Principal in a dynamic and inclusive learning community. The ideal candidate will be responsible for a wide range of administrative duties, requiring accuracy, good judgment, confidentiality, and the ability to work effectively under pressure with minimal supervision. Requirements

  • Associates Degree preferred
  • 3-5 years of previous administrative experience
  • Proficient with Google Suite, MS Office Suite, Munis, Aspen and other web-based tools and systems.
  • Ability to work collaboratively, and interact and communicate at all levels within the district
  • Demonstrated attention to detail and accuracy
  • Demonstrated ability to take initiative, establish work priorities, and work independently with minimal supervision
  • Demonstrated ability to maintain confidentiality

Responsibilities

  • Manage calendars and phone calls for the Principal & Associate Principal.
  • Handle Employee & Students Accident Reports.
  • Schedule teacher evaluations within required timelines.
  • Prepare all documents for meetings (Staff, external, etc.).
  • Process legal requests for complete student records, ensuring timely scanning, encryption, and sending.
  • Develop and maintain an inventory of technology in all classrooms.
  • Send out school-wide emails and develop/maintain the Staff Info Document, Telephone Directory, and Staff Shared Drive.
  • Coordinate morning announcements.
  • Manage grading windows and publishing report cards in Aspen, including running verification reports and notifying staff.
  • Assist with Aspen issues as needed with Data Specialists.
  • Manage all digital signage (Outdoor Sign, Main Lobby, Broadcast, Cafeteria, Auditorium).
  • Maintain the school website.
  • Coordinate MCAS clerical tasks, including creating folders and including required documentation.
  • Manage receiving or shipping of materials.
  • Oversee after-school clubs and athletics, ensuring appointments are made by HR and clubs are running.
  • Manage stipends for clubs/sports upon completion.
  • Coordinate field trips, ensuring all forms are signed and approved.
  • Work with building custodial staff to place work orders for building issues.
  • Coordinate vending machine orders, deliveries, and payments with the Head Custodian.
  • Assume duties of other secretaries during summer break.
  • Perform other duties as required by the Principal.
