About The Position

Reporting to the Manager, Language Services, the Language Services Specialist provides technical expertise and support to the Language Services unit and to Royal College staff to facilitate and oversee the workflow of translation requests and the proper functioning of the Language Services team’s translation systems. This role is responsible for conducting analysis and research to ensure that optimal processes for translation are implemented while efficiently managing external vendors' costs. This role is also responsible for setting up operational workflows, assigning translation tasks internally and externally to guarantee operational efficiency and effectiveness while ensuring that sufficient time is allowed for the team to produce high quality translations within the requested deadlines and within the allocated budget. This role supports the proper functioning of translation workflows and systems, and through this work, ensures that the Royal College can deliver on its mandate of offering quality products and content to members and other audiences in both official languages.

Requirements

  • Five years of experience in Project coordination demonstrated experience related to exercising a high level of discretion and judgment when dealing with translation requests and confidential data/issues/situations.
  • Coordination, organizational, time management and project management experience to plan and coordinate activities, prioritize work, manage own day-to-day work, and in some instances, influence work priorities and deliverables of others.
  • Demonstrated experience establishing and maintaining working relationships and exchanging or providing information/instruction in a clear and professional manner both internally and externally.

Responsibilities

  • Manage different strategic translation projects by triaging incoming translation requests and setting up and implementing appropriate workflows and translation actions to ensure quality translations are delivered in an optimal timeframe, in a cost-effective manner and in a way that supports manageable employee work volume.
  • Assess each corporate translation request and assign it to internal or external translation resources based on the level of visibility and risk associated with the document and in a manner that optimizes costs.
  • Analyse and develop mitigation strategies to propose solutions for optimizing the overall schedule across internal and external resources.
  • Triage freelancers’ questions, according to area of expertise, in a timely manner to ensure that the projects are delivered on time.
  • Monitor the translation system’s client and worker accounts, observe functionalities and responsiveness and resolve technical problems within user permissions in conjunction with the Information Technology Services team, to ensure that the Language Services unit has the proper tools and optimized technology to support its work.
  • Collaborate with staff at all levels and volunteers through effective negotiation, tact and client management practices to collect and verify requirements of all major deliverables and effectively translate project requirements into operational requirements for the staff of the Language Services unit.
  • Renegotiate on a daily basis deadline with clients at all levels of the organization when capacity is exceeded, or the team members require more time to deliver quality translations.
